Job Summary

About the Role

Are you organised friendly and love helping people Were looking for a Practice Administrator to join our welcoming team and be the first point of contact for our families. You will play a vital role in providing a warm welcome and being a reliable source of information about our services. You will work within a team of administrators supporting our therapists in a fast-paced environment.

This is a part-time opportunity (between 1 and 2 days per week) working to support our Allied Health team at our clinic in Wembley.

Key Responsibilities

  • Meeting and greeting families
  • Answer phones and manage messages professionally
  • Schedule and reschedule appointments efficiently.
  • Manage client check-ins and ensure smooth front desk operations.
  • Maintain a tidy and welcoming reception area.
  • Oversee room bookings to ensure efficient therapy sessions for our families
  • Support therapists to manage appointments and diaries
  • Process invoices and take payment for services (cash NDIS invoicing EFTPOS HICAPS Medicare)

What Were Looking For:

  • Excellent communication and interpersonal skills.
  • Strong organisational skills and attention to detail.
  • Ability to multitask in a busy environment.
  • A positive attitude and commitment to great customer service.
  • Previous reception experience (healthcare experience a bonus!).

Qualifications :

Essential Criteria:

  • Allied Health Administration/Reception experience
  • Familiarity with Microsoft Teams and Excel
  • First Aid Certificate WWC Check NDIS Worker Screening and Police Clearance (or willingness to obtain)

Desirable:

  • Zanda (or similar Case Record Management and calendar management) experience
