Purpose Statement
The job of Human Resources Technician II- District Receptionist is done for the purpose/s of greeting and directing visitors responding to inquiries from staff the public parents students etc. by providing requested information and/or referral to other parties; and providing additional support for the Human Resources functions.
This job reports to Director of Human Resources
Essential Functions
Answers telephone system for the purpose of screening calls transferring calls responding to inquiries and/or taking messages.
Assists with employment process (e.g. employment verifications applicants at the computers using the online application process etc.) for the purpose of supporting human resources functions.
Distributes items within the site (e.g. special delivery and overnight mail/packages messages US mail etc.) for the purpose of ensuring receipt to addressee.
Greets individuals entering the building (e.g. visitors parents students applicants vendors etc.) for the purpose of responding to inquiries; and/or directing individuals to appropriate location in accordance with established building security procedures.
Maintains reception area materials for the purpose of providing resource information to visitors.
Prepares a wide variety of correspondence of a confidential and non-confidential nature (e.g. Board letters verifications of employment etc.) for the purpose of documenting activities providing written reference and/or conveying information.
Receives a variety of items (e.g. mail special deliveries packages supplies etc.) for the purpose of distributing materials to appropriate parties.
Supports assigned personnel for the purpose of providing assistance with their functions and responsibilities.
Other Functions
Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Job Requirements: Minimum Qualifications
Skills Knowledge and Abilities
SKILLS are required to perform multiple tasks using existing skills. Specific skill based competencies required to satisfactorily perform the functions of the job include: preparing and maintaining accurate records; operating standard office equipment; and utilizing pertinent software applications; customer service; screening telephone calls.
KNOWLEDGE is required to perform basic math; read and follow instructions; and understand written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette.
ABILITY is required to schedule activities and/or meetings; collate data; and use basic job-related equipment. Flexibility is required to work with others; work with data utilizing specific defined processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with specific job- related data; and utilize specific job-related equipment. Problem solving is required to identify issues and createaction plans. Problem solving with data requires following prescribed guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; adapting to changing priorities; working with frequent interruptions; communicating with diverse groups; displaying tact and courtesy.
Responsibility
Responsibilities include: working with immediate supervision; providing information and/or advising others; utilization of some resources from other work units may be required to perform the jobs functions. There is some opportunityto affect the organizations services.
Work Environment
The usual and customary methods of performing the jobs functions require the following physical demands: some lifting carrying pushing and/or pulling some stooping kneeling crouching and/or crawling and significant fine finger dexterity. Generally the job requires 80% sitting 15% walking and 5% standing. This job is performed in a generally clean and healthy environment.
Experience: Job related experience is desired.
Education: High school diploma or equivalent.
