Job Summary
The Personal Assistant / Secretary to the Managing Director provides high-level administrative
and organizational support to ensure the efficient functioning of the MDs office. The role
requires strong coordination skills discretion and the ability to manage multiple priorities
while maintaining confidentiality and professionalism.
Key Responsibilities
Executive Support
Manage the MDs calendar including scheduling appointments meetings and travel
plans.
Organize and coordinate internal and external meetings conferences and
appointments.
Act as the primary point of contact between the MD and internal/external stakeholders.
Communication & Coordination
Handle email correspondence and screen phone calls on behalf of the MD.
Draft review and format official communications as required.
Follow up on action items and ensure timely responses.
Documentation & Reporting
Prepare meeting agendas presentations reports and briefing notes.
Maintain accurate records documents and confidential files.
Ensure proper filing (physical and digital) and document version control.
Task & Priority Management
Track key tasks projects and priorities assigned by the MD.
Monitor deadlines and provide timely reminders and status updates.
Assist in planning and execution of strategic and administrative initiatives.
Administrative Support
Support day-to-day office administration activities as required.
Coordinate with various departments for information flow and approvals.
Assist in organizing events visits and official functions.
Key Skills & Competencies
Excellent organizational and time-management skills
Strong written and verbal communication
Proficiency in MS Office (Word Excel PowerPoint Outlook)
High level of confidentiality integrity and professionalism
Ability to multitask and work under pressure
Strong interpersonal and coordination skills
