About the Role: This multi-faceted role provides essential administrative and operational support across three entities. The assistant will work closely with the CEO/Managing Principal and a Project Manager to ensure smooth operations project coordination and administrative efficiency.

Key Responsibilities by Entity:

  • Company One:
    • Manage the full customer journey from point of sale through project completion.
    • Coordinate and arrange all project logistics: attic inspection materials ordering project scheduling dumpster delivery/pick-up and final project completion arrangements.
    • Support the CEO and Project Manager with database organization and management.
    • Perform miscellaneous administrative tasks as directed by the CEO and Project Manager.
    • Assist with the basic creation of social media posts using content provided by company one or tcompany two team.
    • Organize and manage the Google Workspace for the team.
  • Company Two:
    • Assist with the basic development of social media posts based on content created by the CEO.
    • Facilitate the posting of social media content after final approval by the CEO.
    • Support the CEO and Project Manager with miscellaneous administrative tasks.
  • Company Three:
    • Provide scheduling support for the Managing Principal including outreach to external contacts as directed.
    • Support the Managing Principal with miscellaneous administrative tasks.

Team Structure Clarity: The assistant will directly support the CEO of company one and two who is also the Managing Principal for company three. Company ones team includes one additional Project Manager.

Role Qualifications:

  • Administrative & Organizational Expertise: Proven track record in providing comprehensive administrative and operational support demonstrating exceptional organizational and multitasking abilities to manage support for three distinct entities.
  • Google Workspace Proficiency: High level of proficiency in managing and organizing Google Workspace applications (e.g. Drive Calendar Gmail) as this is an explicit responsibility for Company ones team.
  • Project Coordination & Logistics: Demonstrated experience in managing end-to-end logistics and coordinating multiple moving parts specifically in a project-based environment (e.g. scheduling ordering materials managing deliveries/pickups).
  • Customer Service & Communication Skills: Excellent written and verbal communication skills required for managing the full customer journey including contact from the point of sale through final project completion and for outreach to external contacts for scheduling.
  • Database Management: Basic experience with database organization and management to support the CEO and Project Manager.
  • Remote Work & Time Management: Proven ability to work effectively in a fully remote independent setting while adhering to the 8AM-5PM US Eastern Time Zone working hours.
  • Social Media Assistance: Basic understanding and ability to assist with the creation and facilitated posting of social media content.

Success Metrics:

  • Project & Logistics Efficiency: Timely coordination of all project logistics (inspections ordering scheduling dumpster) to minimize delays and achieve on-time completion with minimal errors.
  • Administrative & Operational Support: Provide highly effective administrative support to all three entities (CEO/Managing Principal Project Manager) with positive feedback manage Google Workspace and databases efficiently and provide timely/accurate scheduling and external contact outreach for the Managing Principal.
  • Customer Journey Management: Ensure smooth customer journey from sale to completion for high satisfaction.
  • Social Media Contribution: Timely and accurate assistance with social media content creation and posting for Company one and Company two after final CEO approval.
