About the Opportunity

The Senior Membership Coordinator is an exciting opportunity for a motivated individual to join a dynamic museum membership team at a respected San Francisco cultural institution. Reporting to the Senior Membership Marketing Manager the Senior Membership Coordinator supports the Academys membership acquisition and renewal marketing campaigns member stewardship communications and events and routine CRM database tasks. The position is responsible for administrative duties that support all aspects of the Academys membership program!

This position is based in San Francisco California. Staff are currently expected to work from the Academy offices at least 3 days per week which may fluctuate based on business needs. This position is part of a bargaining unit represented by Cal Academy Workers United and will be subject to the terms and conditions of that contract.

Key Responsibilities

Marketing and events support

  • Support renewal and acquisition marketing operations including lists direct mail and email management. Work with outside consultants and printers to coordinate campaigns and ensure accuracy and timely delivery of all assets. Serve as a key point of contact for campaign logistics and troubleshoot data or list issues as they arise.
  • Manage email building in CMS for stewardship renewal and acquisition campaigns
  • Copy review support for email and direct mail marketing and member communications
  • Day of support at membership events and Members Months (may include some weekend and evening support)
  • Support with membership creative asset requests and inventory

Member Program Administration

  • Tessitura data entry list generation and source code creation in support of monthly campaigns (auto-renew installment plans renewal acquisition). Ensure accuracy troubleshoot issues and recommend workflow improvements.
  • Coordinate administrative tasks including meeting scheduling notes and action item follow-up. Support project tracking and help maintain visibility into campaign timelines and deliverables.
  • Follows all Academy safety regulations
  • Other duties as assigned

Member Stewardship

  • Respond and interact with the Academys member community (inquiries membership status billing etc). Resolve complex inquiries identify trends and recommend improvements to enhance the member experience

Qualifications: A successful candidate will have the following:

  • 2-3 years of experience in nonprofit marketing or administrative support role
  • Proficient with Google Workspace (Docs Sheets Drive Forms) or similar software
  • Experience working in a CRM database and a willingness to learn the Academy database (Tessitura)
  • Familiarity with project management systems (similar to Wrike or Asana)
  • Knowledge and interest in the Academy and enthusiasm for the mission

Knowledge Skills & Abilities:

  • Strong oral written and interpersonal skills required with the ability to effectively engage Academy supporters volunteers and cross-functional teams.
  • Proactive solution-oriented with strong analytical skills and the ability to compose clear professional correspondence.
  • Strong commitment to customer service excellence and the ability to effectively communicate and problem solve for customers
  • Able to work in a fast-paced environment manage simultaneous tasks and timelines high respect for confidentiality
  • Good judgment excellent organizational skills flexibility and able to manage multiple tasks and projects
  • Computer proficiency and the ability to learn new software quickly:
    • Microsoft Office and Google Workspace
    • Demonstrated database experience in Tessitura or similar systems is a plus
  • Comfortable in a self-driven flexible creative fast-paced environment
  • Ability to work efficiently and communicate with staff cross-functional teams and external customers from different backgrounds identities and experiences

Compensation and Benefits:
The hourly compensation range for this position is $30.63 - $33.15. Actual compensation will be commensurate with the final candidates qualifications and experience including skills knowledge relevant education certifications and aligned with the internal peer group. We believe in fair and equitable compensation practices and are committed to providing competitive salaries within the industry and market standards. The Academy offers a total compensation package that emphasizes both base salary and comprehensive benefits based on the hours per week worked. Further details regarding compensation and benefits will be discussed during the interview process.

Schedule: Full-Time 40 hours per week
