Job Summary

The Member Experience Coordinator plays a key role in enhancing the member experience at 10XTO Athletic Club by planning coordinating and executing high-quality member events. This position requires strong communication organization and hospitality skills as well as the ability to collaborate across departments to deliver exceptional experiences that strengthen community engagement within the club.

Member Event Planning & Execution

  • Plan coordinate and supervise all member-focused events at the club.
  • Collaborate with internal department heads the banquets team and other operational leads to ensure each event runs smoothly and meets 10XTOs service standards.
  • Oversee end-to-end event logistics including concept development scheduling setup execution and post-event review.
  • Manage all email and written communications related to events including promotional materials RSVP instructions event reminders and follow-up messages.
  • Handle the full RSVP process ensuring accurate attendee tracking and timely communication.
  • Maintain responsibility for event budgets tracking all expenses and ensuring costs align with approved budgets.
  • Serve as the on-site lead on event days to manage setup monitor event flow support staff address member needs and ensure overall success.

External Event Management

  • Respond to inquiries regarding private or external event bookings.
  • Liase with Hotel sales team for in-house corporate bookings.
  • Evaluate external event proposals and use discretion in determining whether events align with club standards values and operational capabilities.
  • Coordinate accepted external events with the necessary internal teams ensuring they do not interfere with member experience or club operations.

Club Communications

  • Manage and distribute club-wide push notifications and other communication channels to ensure timely and effective messaging.
  • Work with leadership to maintain a consistent communication voice that aligns with the 10XTO brand and member expectations.

Community Building & Program Development

  • Develop and introduce new member events and programming aimed at fostering community engagement and enhancing the club culture.
  • Share creative ideas and implement initiatives that support member retention satisfaction and overall club vitality.
  • Grow existing relationships with partners and vendors as well as build new opportunities.

Operational Responsibilities

  • Work synergistically with the Membership and Front Desk departments to support the completion of day-to-day tasks.
  • Coordinate with the Marketing Department to ensure Club communications follow branding guidelines and Club voice.
  • Understand club policies and be able to uphold them in member interactions

Qualifications

  • Excellent verbal and written communication skills.

  • Enthusiastic energetic personable and friendly disposition.

  • Personal passion for health and fitness; familiarity with athletic club environment is an asset.

  • Highly organized with strong attention to detail; able to manage multiple tasks.

  • College Diploma or Bachelor degree in Sport or Business Administration or a related field is preferred.

  • Experience working with Club Automation membership software preferred.

  • Previous experience or knowledge of fitness facility or athletic club operations and customer service is preferred.

  • Flexible shift availability including evenings weekends and holidays. Due to the cyclical nature of the hospitality industry employees may be required to work varying schedules to reflect the business needs of the addition attendance at all scheduled training sessions and meetings is required.
