Job Summary

Flight Coordinator

Primary Purpose of the Job

To plan coordinate and schedule all helicopter operations (approximately 40 daily flights) supporting offshore drilling production stations and Halul operations. The role ensures safe efficient and cost-effective transportation of personnel and materials for all oil companies operating offshore in the State of Qatar while aligning daily operational priorities and maintaining the highest safety standards.

Principal Accountabilities

  1. Plan and schedule helicopter operations in support of all offshore activities including Joint Venture (JV) companies by assessing payloads capacities routing operational priorities and cost efficiency.

  2. Coordinate and manage all supply and support craft operations to ensure efficient service delivery including regular liaison and negotiation with internal departments and external JV partners to resolve operational conflicts.

  3. Liaise closely with engineering production and drilling teams as well as Gulf Helicopters coordinators to manage daily operations address booking or passenger-related issues and ensure continuity of service through proactive planning.

  4. Maintain accurate and up-to-date records of flight schedules passenger manifests no-show reports unserviceable aircraft and align all cost reports with the DAWINCI system.

  5. Resolve conflicts related to passenger and cargo bookings by utilizing logistics management systems including managing overbookings payload restrictions and rescheduling flights in coordination with heliports and stakeholders. Ensure compliance with safety regulations and obtain required waivers when necessary.

  6. Collect and consolidate operational data from offshore locations and the GHC heliport to support Qatar Armed Forces operations including flight coordination landing permissions fuelling arrangements and airspace deconfliction to ensure safe operations.

  7. Act as a Super User for bespoke cloud-based logistics systems critical to national offshore operations providing system access troubleshooting and user support upon authorized request.

  8. Ensure that personnel capacity limits at offshore facilities are not exceeded at any time through careful monitoring and coordination.

  9. Activate and manage Emergency Response Plans for helicopter or vessel incidents including data preservation stakeholder communication and coordination of safe return procedures.

Decision-Making Authority

This role requires a high level of independent judgment and responsibility to assess complex operational requirements environmental factors and logistical constraints. The role involves making informed decisions that balance safety efficiency and operational priorities across multiple stakeholders. The position operates with minimal supervision escalating only major technical or procedural issues to the Head of Joint Operations.

Context / Challenges

This role demands strong problem-solving skills within a high-pressure time-sensitive environment involving multiple stakeholders. The incumbent is accountable for ensuring uninterrupted helicopter operations timely delivery of personnel and materials and accurate reporting. The position represents the unified offshore operational interests of all JV companies and supports national offshore oil and gas operations.

Qualifications / Knowledge / Experience

  • Bachelor’s Degree in a relevant field of study.

  • Minimum of 5 years’ experience in helicopter operations or a similar role within the oil and gas industry.

  • Strong understanding of safety risks associated with personnel and cargo transportation.

  • Proven ability to work collaboratively while demonstrating initiative and accountability.

  • Excellent organizational and planning skills.

  • Strong analytical and problem-solving abilities.

  • Proficient in Microsoft Word and Excel.

  • Fluent in written and spoken English (minimum Level 6).
