The Administrative Office of the Courts is looking for a dedicated and detail-oriented Court Program Assistant who is passionate about making a difference. Reporting to the Manager of Guardianship and Elder Services in the Courts this position provides program support to theOffice of Public Guardianship (OPG). Some duties will include tracking contracts reviewing invoices managing files and records data entry and report development providing technical assistance to contractors and the public and assisting senior staff with projects.


In this role youll take initiative and ownership of ongoing projects and programs within your area of expertise. Youll be trusted to work independently while collaborating with senior AOC staff for specific assignments. Your work will be periodically reviewed but youll have the freedom to manage day-to-day responsibilities and make meaningful contributions. Guidance is always available for new or unusual situations but your ability to think critically and act proactively will set you apart.

Salary: Range 56: $63252 - $82872 per year (DOQ).

WASHINGTON STATE RESIDENCY AND TELEWORK INFORMATION


AOC requires employees to reside in Washington State. Any exceptions must be approved. If you are invited to an interview and currently reside outside of Washington State seek more information about residency requirements from the AOC hiring manager of this recruitment.


This position requires you to be in the office at least two (2) days per week.

Duties and Responsibilities


Some of the duties you will perform are:

  • Coordinates and assists with projects in areas of responsibility/focus to support the work of Washington Courts and OPG. Such projects may include research studies gathering information identification of best practices and preparing reports for Boards Commissions and their committees.
  • Assists in developing and enhancing internal business processes to allow for maximum effectiveness and efficiency of court program implementation.
  • Assists senior AOC staff in managing and coordinating court programs.
  • Assists in coordinating and may primarily coordinate program financial budgeting monitoring and oversight. Reviews invoices for accuracy maintains an accounting/ledger of invoice payments and report discrepancies to senior AOC staff.
  • Communicates and assists in developing and implementing program policies standards guidelines and expectations; assists in monitoring compliance with internal AOC program policies standards and guidelines RCW 11.130 and 2.72.
  • Coordinates conferences and/or trainings associated with AOC programs including Continuing Education Units (CEUs) for Certified Professional Guardians and Conservators (CPGCs).
  • Responds to requests related to AOC programs and projects including requests for assistance program literature OPG referral process and other information related to the program.
  • Maintains information on specified court program web sites. Assists with editing and developing online forms.
  • Performs other duties as required.

Qualifications and Credentials


  • Associate of Arts degree in business or a related field


AND


  • Four (4) years of administrative program support experience.


Relevant experience may substitute for the required education.


THE IDEAL APPLICANT WILL ALSO HAVE SOME OR ALL OF THE FOLLOWING EXPERIENCE EDUCATION KNOWLEDGE SKILLS AND ABILITIES


  • Proficient in Microsoft 365 applications (Teams Outlook Word OneNote PowerPoint) and skilled in website navigation and content updates.
  • Exceptional attention to detail with strong writing grammar and communication skills.
  • Demonstrates professionalism and builds effective relationships with court and government officials at all levels.
  • Highly organized with the ability to prioritize manage multiple projects and meet deadlines independently.
  • Strong problem-solving skills able to analyze issues and develop practical solutions while keeping stakeholders informed.
  • Knowledge of Washington State court system operations and ability to learn and apply internal and external protocols.

Supplemental Information


  • The workweek may fluctuate depending on workload or agency needs.
  • Overnight travel may be required based on business needs.
  • This position is overtime eligible.
