Position Summary

This role is responsible for providing comprehensive administrative and operational support to ensure the efficiency of departmental processes. Key activities include managing payment follow-ups for service providers supporting budget preparation and monitoring monthly expenses against approved allocations and overseeing the lifecycle of Purchase Orders and invoices.


Key Responsibilities

  • Administration of follow-up for payments to various service providers.
  • Support to department areas in preparing the Budget exercise as well as monthly monitoring of expenses versus the approved budget.
  • Management of the lifecycle of Purchase Orders (PO) and Invoices.
  • Management of contracts with suppliers and internal areas.
  • Preparation of expense reports and reimbursement of expenses.
  • Translation and review of global documents into Portuguese.
  • Specific technical-operational support for Quality Control.
    • Preparation of reagent MAPs for submission to the Federal Civil and Army Police within their respective established deadlines.
    • Management of reagent purchasing processes and invoice handling.
    • Inventory management of reagents reference standards consumables and other laboratory materials.
    • Focal point for importing analytical materials and coordinating analytical transfers for Quality Control (standards samples placebo and other materials).
    • Support for the 5S program housekeeping and visual management within QC.
    • Scheduling and follow-up with service providers for equipment qualification.
    • Scheduling and follow-up with third-party laboratories.


Qualifications & Experience

  • Bachelors degree in Secretarial Studies Business Administration or related fields.
  • Pharmaceutical industry knowledge is desirable.
  • Advanced English proficiency.
  • Advanced skills in Excel PowerPoint and Word.
  • Familiarity with Lean tools is desirable.
  • Agility and proactivity.
  • Organization accuracy and attention to detail.
  • Logical and analytical thinking.
  • Strong communication and interpersonal skills.
  • Teamwork orientation.
  • Ability to adapt to change.
  • Challenges the status quo in pursuit of continuous improvement.
  • Minimum of 2 years of experience in an administrative area.

On-site Protocol
