We are seeking a highly organized proactive and business-minded CEO Assistant to act as a true strategic partner to the CEO. This role goes far beyond calendar management it is about protecting the CEOs time increasing leverage anticipating needs and ensuring flawless execution across professional and personal priorities.
The ideal candidate is detail-obsessed calm under pressure reliable and able to operate with discretion autonomy and high judgment.
Key Responsibilities
Calendar & Time Management
Own and optimize the CEOs calendar with a clear focus on priorities efficiency and outcomes
Design and maintain the CEOs perfect week structure
Schedule meetings travel events podcasts and speaking engagements
Ensure all calendar invites include full context agendas contacts locations and buffers
Inbox & Communication Management
Fully manage the CEOs inbox with a goal of inbox zero
Filter prioritize label and respond on behalf of the CEO when appropriate
Handle external communications professionally clearly and politely
Draft responses to decline invitations opportunities or collaborations
Travel & Logistics
Plan and manage domestic and international travel end-to-end
Create detailed trip files including flights hotels itineraries contacts and contingencies
Handle delays cancellations and last-minute changes seamlessly
Meeting & Admin Cadence
Prepare daily weekly and monthly admin agendas
Run structured admin meetings with the CEO
Track action items follow-ups and project status
Maintain operational rhythm (daily / weekly / quarterly tasks)
Coordination & Liaison
Act as the main point of contact between the CEO and internal teams
Coordinate with external partners podcast hosts event organizers and vendors
Liaise with personal staff when needed while maintaining professionalism and confidentiality
Confidentiality & Judgment
Handle highly sensitive information with absolute discretion
Anticipate problems and resolve them before escalation
Make decisions aligned with the CEOs preferences and business priorities
Requirements
Proven experience as an Executive Assistant / CEO Assistant
Exceptional calendar inbox and time-management skills
Strong written and verbal communication skills (English required)
High level of organization ownership and attention to detail
Ability to work proactively independently and under pressure
Strong business judgment and prioritization skills
