Job Summary

Department of MGB Neurosurgery:

The MGB Neurosurgery (NSU) Senior Director of Clinical Operations is a critical member of the department leadership team. They play an integral part in delivering efficient patient-centered clinical operations as well as development and execution of a strategic MGB wide vision for clinical services across the Department of Neurosurgery and the Neurosurgery Institute (NSI). The Senior Director works closely with hospital department and NSI leaders to ensure close alignment with the system structure and goals. The Senior Director oversees integrated and optimized clinical operations across Neurosurgery ambulatory practices ORs and inpatient services. This person will establish common expectations processes and systems to improve the consistency of practice operations across Neurosurgery clinical sites.


Qualifications

  • Bachelors degree required.
  • Masters degree in business administration public health public administration strongly preferred.
  • 7-10 years management experience in an academic medical center required.
  • Supervisory experience required.
  • Outstanding organizational skills to manage many competing responsibilities and priorities.
  • Ability to delegate effectively supervise and plan for the timely and successful completion of objectives.
  • Exceptional interpersonal skills and a high degree of social facility in obtaining cooperation and support from a broad range of people.
  • Demonstrated ability to interact with all members of the organization in ways that enhance understanding respect cooperation and problem solving.
  • Excellent verbal and written communication skills to communicate effectively with a large and diverse constituency including departmental leadership administrative staff clinical and research faculty and leaders across the AMCs and MGB.

  • The ability to independently resolve quickly most problems encountered.
  • Demonstrated sensitivity discretion and judgment regarding confidential matters.

WORKING CONDITIONS:

  • Hybrid position - expected to have regular onsite presence multiple days per week and expected to split time between sites and expected to split time between sites.
  • Attends meetings at MGB hospitals and occasionally Assembly Row.
  • Is available for early and late meetings and flexible to meet frequent deadlines. Some evening and weekend work will be necessary.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Strategic Development

  • Under the direction of the NSU Executive Administrator and in partnership with the NSI Chief Administrator and Neurosurgery Clinical Site Directors determine the overall vision mission direction goals and objectives for Neurosurgery ambulatory OR and inpatient operations.
  • Works with departmental hospital leadership and relevant MGB departments to prepare necessary business plans and documentation.
  • Serves as a critical member and senior leader for the NSU administrative team(s). Establishes and maintains clear communications with Department leaders as to each areas performance. Interacts and builds strong working relationships with peers and clinical leadership.
  • Works with hospital leadership to evaluate and monitor performance of the AMCs to support the delivery of services and the operational goals of cost containment quality enhancement developing a culture of safety and patient experience.
  • Develops leadership structure that maximizes clinical integration and coordination with ambulatory practices in the community.
  • Participate in the NSU Clinical Operations / Quality Council and ensure NSU and NSI strategies are communicated and implemented with the Department of Neurosurgery.

Clinical Operations:

  • Develop operational standards and metrics for consistent patient and provider experience across the NSU Department as appropriate. Integrated standards include (but are not limited to):
    • Template/OR utilization
    • Staffing ratios
    • Administrative Team structure
    • MD/APP teams
    • Patient Intake/ Triage models
    • Clinic schedules and visit lengths
    • Call coverage and scheduling support
  • Develop practice staffing workflows with best practices for optimal staffing experience. Ensures top of license activity for a range of staff roles.
  • In collaboration with physician leadership design and support ongoing multidisciplinary care models across Neurosurgery and related departments (Neurology Orthopedics ect). Work with respective leaders to develop sustainable staffing models and financial structures that streamline patient care.
  • In collaboration with NSU leadership leads the evaluation development and implementation of strategies for the growth improved access and integration of clinical services throughout MGB (i.e. establishment of centers of clinical excellence site of care transition to community locations etc.).
  • In partnership with relevant chiefs ACMO directors and clinical operations leaders oversees operations of clinical services provided in ambulatory procedural and inpatient areas across multiple campuses (i.e. BWH MGH SSH NWH and various other sites).
  • Works to achieve system level clinical and quality goals.
  • Develops appropriate staffing models and ratios that accommodate ongoing ambulatory procedural and inpatient growth. Project and forecast needs as part of the budgetary process.
  • Participates in AMC and MGB working groups related to clinical operations as requested by NSU and other system leadership.

Essential Functions:

  • Participates in the development and management of budgets monitors financial performance for respective areas and take corrective action as needed.
  • Provides management guidance and support to administrative leaders provides mentorship to ensure their success and to hold them accountable for achieving operational goals.
  • Research and analyze data to identify areas of improvement.
  • Develop and implement strategies to improve the performance of the Neurosurgery clinical services and programs.
  • Achieve operational goals including volume financial people quality and safety.
  • Develop implement and monitor policies and procedures to ensure efficient operations.
  • Develops letters presentations announcements and other communications.
  • Keeps current regarding trends and developments in the health care field.
  • Leads or participates in special projects or other related tasks as requested or required.
  • Performs other duties as assigned
  • Complies with all policies and standards

Human Resources Management

  • Management Actions:
    • Coordinates with Human Resources for the interviewing hiring personnel transactions (e.g. hiring salaries promotions job descriptions) and implementation of institutional corrective action policy for direct reports.
    • Using Workday initiates approves and coordinates with Human Resources for approval of human resources changes (e.g. salary adjustments salary distributions training records) for staff.
    • Prepares performance reviews on direct reports.
    • Takes corrective and disciplinary action up to and including termination as necessary to maintain the highest level of staff productivity and effectiveness.
    • Reviews workload issues to ensure appropriate staffing.
  • Oversight:
    • Provides direct supervision to and is responsible for the conduct operations and results of direct reports and subordinate staff.
    • Develops and implements change management programs including efficiency and resource utilization projects.
    • In times of transition supports areas that require interim leadership support.
    • Actively considers opportunities to grow the abilities skills and support of employees through professional development enhanced communication vehicles employee-focused initiatives and otherwise.
  • Culture/Equity:
    • Reviews supports and ensures salary and wage equity for staff.
    • Creates a supportive educational and development-focused environment for all staff.
    • Ensures the maintenance of a diverse inclusive and professional environment for all staff.
