The opportunity we have available

We are seeking a highly skilled M365 Engagement Specialist to play a critical role in driving the adoption and effective use of Microsoft 365 across the department. This position is responsible for engaging with end users promoting modern digital practices and ensuring the department realises the full value of its investment in M365.

Working within the Digital Product team the specialist will lead initiatives that build digital capability foster user confidence and support the transformation of work practicesthrough the use ofM365 tools such as Copilot TeamsSharePointand OneDrive.

What will you do

As an M365 Engagement Specialist you willbe responsible fora range of tasks including:

  • Create and deliver training for Microsoft 365 (M365) tools using the latest advice and guidance from Microsoft to drive adoption and uplift digital literacy.
  • Connecting with end users by engaging with staff to understand how tools are being used pain points and aspirations to provide tailored advice and training.
  • Monitoring emerging trends in workplace technology and artificial intelligence providing expert advice on potential opportunities for the Department.
  • Developing and maintaining best practice guides for the M365 suite with a specific focus on Copilot and MS Teams.
  • Supporting the ongoing administration of M365 ensuring alignment with cyber security privacy policies and business requirements.
  • Providing troubleshooting for incidents and problems related to M365 products.

While an understanding of M365 technical administration would be an advantage it is not essential for this role. We arelooking for someone who is passionate about contemporary technology and working with end users to support peopletoget the most out of ourtechnologytools.

The successful candidate for this position will be able to demonstrate their capability against the APS 6 Work level standards.

We are looking for a candidate whopossessesa blend of strong communications and human interaction skills with technicalexpertisein the M365 platform. You will be able todemonstrate:

  • Experience in driving user engagement and adoption of digital technologies particularly Microsoft 365 within a complex organisational environment.
  • Experience in successfully promoting the use of M365 tools (e.g. Teams SharePoint OneDrive Power Platform) to improve collaboration productivity or service delivery.
  • Strong communication and interpersonal skills with the ability to influence educate and build relationships across diverse stakeholder groups.
  • Experience in delivering tailored messaging and training to different audiences and supported change through clear user-focused communication.
  • Proven ability to design and deliver training workshops and learning resources that build digital capability and confidence.
  • Experienced in creating and providing instructional design facilitation or coaching that helped users adopt new technologies or improve their digital skills.
  • Ability to identify opportunities for digital uplift and translate business needs into practical M365 solutions.
  • Strong analytical and problem-solving skills in assessing user requirements and recommending fit-for-purpose M365 tools or workflows.
  • Experience in monitoring adoption metrics gathering user feedback and applying insights to continuously improve engagement strategies.
  • Ability to use data or feedback to refine your approach and enhance user experience or uptake.

Eligibility requirements

Employment with the Department of Infrastructure Transport Regional Development Communications Sport and the Arts is subject to conditions prescribed within the Public Service Act 1999 including:

  • Citizenship: candidates must be an Australian citizen at the time of submitting your application.
  • Health Assessment: The preferred candidate may be required to undergo a medical examination conducted by the departments preferred medical provider.
  • Security Clearance: The successful candidate must be able to obtain and/or maintain a security clearance at Baseline. You must be willing to disclose all relevant and required information. You must have lived in Australia or have a checkable background for at least the preceding five years for Baseline Vetting clearances.   • Police check: The successful candidate must satisfactory complete an Australian Federal Police criminal history check.
  • Integrity and Performance check: The successful candidate must satisfy the requirements in an Integrity and Performance check which is completed by your most recent employer.
  • Desired Qualifications:
      • Relevant Microsoft certifications (e.g. Microsoft 365 Certified: Administrator Expert) are highly desirable.
      • Tertiary qualifications in Information Technology or Education related fields

Timeline and assessment

A selection panel will be established to assess your suitability against the advertised role.

If a merit pool is established it will be valid for 18 months from date it first appeared in the APS Gazette.
