Minimum Qualifications:
- Education & Experience Requirements (one of the following):
- Bachelors degree in Business Administration Legal Studies Information Systems or a closely related field; or
- Associate degree in a related field and at least 3 years of progressively responsible experience working with case management systems in a legal governmental or court environment; or
- A paralegal certificate from an accredited institution combined with at least 3 years of relevant case management legal operations or administrative experience; or
- Five (5) years of directly related experience supporting legal workflows case management systems or court technology in lieu of a degree.
- Familiarity with database reporting tools and/or data extraction tools (e.g. Power BI) and the ability to interpret data for reports and process improvements;
- Demonstrated ability to analyze workflow issues design practical solutions and implement change;
- Excellent written and verbal communication skills; experience developing training materials and delivering instruction to staff; and
- Proficiency in Microsoft Office (especially Excel) and comfort working with reporting tools and data extraction.
Preferred Qualifications:
- At least 3-5 years of hands-on experience working with legal case management systems in a law firm or legal department context;
- Experience with enterprise legal case management systems (e.g. Legal Files FileVine ProLaw or comparable);
- Prior experience working in a state government legal office or with a public-sector legal division;
- Experience collaborating with IT or programming resources in implementing system enhancements or integrations;
- Exercises tact and good judgment;
- Possesses high professional and personal ethics and integrity;
- Possesses an effective command of the English language both spoken and written;
- Possesses excellent time management and critical thinking skills and able to prioritize tasks and assignments; and
- Proficient in email calendar word processing databases and other standard computer software including the ability to learn new programs or software.

The Civil Division of the Louisiana Department of Justice is seeking a highly skilled and detail-oriented Case Management System Administratorto design implement and manage workflows; extract and analyze data reports; train and provide user support to attorneys paralegals and support staff in the use of the case management system; and coordinate system updates in partnership with on-site programmer. The successful candidate will support the Division in optimizing its case management system and legal-file operations to ensure efficient accurate and timely handling of civil matters.
Job Duties and Other Information
The position of Case Management System Administrator in the Civil Division/Support section may consist of but is not limited to the following duties:
- Develop document and refine standardized processes and workflows for civil case management operations;
- Oversee administration of the case management system: user permissions data integrity system updates in coordination with the on-site programmer;
- Maintain the case and matter management system and all records pertaining thereto including data configuration plotting conversion and processing;
- Provide training and user support for attorneys paralegals and support staff in the use of the case management system and associated tools;
- Generate analyze and distribute reports and dashboards using available data to monitor caseloads performance metrics deadlines and compliance;
- Collaborate with the on-site programmer and IT staff to identify system enhancements test new features and implement improvements; and
- Act as a liaison between civil-division management legal staff and IT to ensure system and workflow alignment with operational needs.
