Job Summary

Scope of Position

Transcon Agent is responsible of flawless operational performance productivity technical expertise excellent customer service and constantly driving process efficiency supporting our Vision and Mission Statement making our promise real to all our customers.

Key Deliverables

  • Proactively monitor the following key metrics to achieve the expected results:
  • Operational Excellence - Drive Customer Satisfaction through effective execution
    • Operational performance KPI above 90%
    • Product OPA Audit Result Perform consistently at the highest level.

  • Timely completion of 52-hour trainings per year (4.33 per month) and required trainings associated to the role.

  • Understand and comply with company policies procedures and processes.
  • Escalation of issues to immediate supervisor and/or manager or any other required team with the adequate expertise as example compliance accounting etc.

Transcon Agent job responsibilities:

  • Understand Expeditors general procedures and quality expectations (District Excellence).
  • Understand the Transcon process flow per Expeditors Operational Performance Standards (OPS) and always be in the lookout for better practices to improve operational performance efficiency and productivity.
  • Operational Performance.
    • OSD properly follow up.
    • Support billing accuracy: CFIT
    • Edoc timely updates and recordkeeping.
    • Track and Trace Transcon files daily.
  • Ensure accurate and timely data entry into Expeditors system per Operational Performance Standards (OPS).
  • Understand and execute in accordance to Transcon departments systems and tools including but not limited to:
    • Transcon Dashboard
    • Transcon Operational Performance Tools
    • CFIT Import System
    • ETMs Export System
    • EDOC electronic library
    • Exp.o customs
    • Exp.o GCI
    • EDI
  • All Transcon automated reports related to OPS OPA shipment processing and shipment status. (Refer to all available reports in Transcon Automatic Internal Reports)
  • Ensure the highest level of customer service.
  • Ensure to utilize the most updated SOP execute accordingly.
  • Ensure Customer SOPs updated in a timely manner as part of the recognition and set up of new and existing customers.
  • Understand and support our service provider management processes and procedures.
  • Ensure proper usage of service provider tools
  • Maintain good relationships with all internal and external suppliers/service providers (Broker Shipping lines trucking companies and others involved).
  • Develop a professional relationship with all customers ensuring that all their shipments are received on a timely manner.
  • Keep customers properly and timely informed about the status of their shipments. All customer request must be answered within one hour. In cases where the request cant be fulfilled customer must be informed.
  • Proactively interact with all customers providing professional advice and/or suggestions to different alternatives that will facilitate shipment processing.
  • Proactively communicate to customers broker to proceed with customs clearance ensuring timely completion of the shipment.
  • Always understand and execute according to all compliance requirements. Following applicable regulations for Expeditors and US government.

Finance

  • Understand and follow credit policy 100% of the time.
  • Service Provider timely Payments (ACH).
  • DAP/DDP Policy (FDS).
  • Incoterms (Prepaid / Collect).
  • Timely and correctly bill all processed entries update CFIT notes with any exceptions.
  • Understand all accounting processes and reports and its impact. (BNP AR AP AJAX etc.)
  • Monitor and constantly work on preventing monetary losses.

Security Health and Safety

  • Responsible to inform immediately to the Branchs Health and Safety representative any unsafe condition that could put employees at risk in the workplace as well as any incident or accident.

Qualifications :

To be the most effective in this position we are looking for the following skills and experience:

  • Degree: Bachelors degree in Logistics Import/Export International Trade or equivalent.(preferred)
  • 1 year of experience in similar position or equivalent combinations of education and experience.
  • Understanding of Transportation Process (Preferred)
  • Hazardous materials certification (Preferred).
  • Effective interpersonal and communication skills ability to communicate at all levels written and oral communication.
  • Customer Satisfaction oriented.
  • Attention to detail oriented.
  • Self-driven personality.
  • Organizational and time management skills.
  • Good computer skills and ability to learn new programs and tools including knowledge of all Microsoft Office applications.
  • English and Spanish fluency.
