Job Description
The Fleet Specialist is responsible for coordinating day-to-day Fleet operations across multiple countries in the EMEA region. This role ensures that company vehicles are efficiently managed compliant with corporate and local regulations and aligned with global/regional fleet strategy. This position acts as the primary operational link between Category Manager Leasing partners Dealers and internal stakeholders such as HR Finance and Commercial teams.
Key Responsibilities:
Fleet Operations Management
- Coordinate day-to-day fleet operations across EMEA ensuring timely vehicle ordering delivery and return processes.
- Support implementation of fleet policies and procedures to drive standardization and efficiency.
- Monitor and manage vehicle assignments replacements contract modifications car list and end-of-lease processes.
- Liaise with leasing companies fleet management providers and local fleet coordinators to resolve operational issues.
Compliance & Administration
- Ensure all vehicles comply with corporate fleet policy taxation rules insurance requirements and local legislation.
- Maintain accurate and up-to-date fleet data in fleet management systems (e.g. SNOW etc.).
- Support management of fines fuel cards registration insurance and maintenance documentation.
Supplier & Stakeholder Management
- Act as a regional/country point of contact for local suppliers on operational issues (leasing companies fuel card providers etc.).
- Collaborate with HR and Finance to ensure alignment of fleet processes with employee benefits and corresponding reporting requirements.
- Support the Global Fleet Manager in supplier performance reviews KPI tracking and SLA adherence.
Data Analytics & Reporting
- Track and report key fleet KPIs (ex: total cost of ownership utilization CO₂ emissions downtime).
- Identify cost saving opportunities through optimization of vehicle usage fuel efficiency and policy compliance.
- Assist with fleet budget preparation and variance analysis.
Sustainability & Electrification
- Support the transition to low-emission and electric vehicles in line with company sustainability targets.
- Monitor EV adoption barriers (charging infrastructure policy gaps) and provide country-level insights.
Qualifications & Experience:
- Bachelors degree in Business Administration Supply Chain or related field.
- Strong Excel and data analysis skills; experience with fleet management software preferred.
- Fluent in English
- Excellent communication and coordination skills across diverse geographies.
- Experience in fleet management is preferrable.
- Familiarity with EMEA fleet markets vehicle taxation and regulatory environments is preferred.
