JOB DESCRIPTION

Reports to: Hotel Manager
Our client is an acclaimed hospitality leader in the heart of Accra renowned for crafting exceptional personalized experiences that leave a lasting impression on every guest.
Your role as a Receptionist:
You will be the first point of contact for all guests visiting our hotel. Your role is to provide outstanding customer service manage front desk operations efficiently and ensure a seamless guest experience from arrival to departure.

Key Responsibilities
- Greet guests warmly upon arrival and ensure a swift and smooth check-in and check-out process.
- Manage all guest reservations via phone email online platforms or in-person ensuring accuracy and attention to detail.
- Handle guest inquiries requests and complaints professionally escalating to supervisors as needed.
- Maintain a high standard of personal grooming and professional appearance at all times.
- Answer and direct all incoming phone calls promptly and courteously.
- Maintain accurate records of guest information room availability and daily front desk logs.
- Issue room keys and process payments using the hotels Property Management System (PMS).
- Update guest folios and process billing transactions efficiently.
- Prepare daily reports such as occupancy reports arrival/departure lists and cash handling summaries.
- Responsible for daily stock taking for the hotels mini bar.
- Verify guest identification and ensure compliance with hotel security and safety protocols.
- Monitor visitor access and maintain security of guest information.
- Communicate important guest preferences VIP arrivals or incidents to relevant departments.
- Ensure that the front desk is always neat organized and well-stocked with necessary supplies.
- Follow all hotel policies regarding cash handling confidentiality and code of conduct.
Requirements
- HND in hospitality management business administration or other relevant fields
- Minimum of 2 years work experience in front desk management or similar roles
- Knowledge of hospitality operations is an added advantage
- Available to work flexible hours and on rotational shift including weekends holidays and night shifts.
- Must be analytical and detail-oriented.
- Excellent customer service and problem-solving skills.
- Excellent verbal and written communication skills.
- Strong interpersonal skills.
- Proficiency in IT and computer applications.
- Proficiency in MS Office Suites (Excel Word and PowerPoint).
