Major teams within BES include Finance Information Technology Services Talent Team Learning and Development Brand & Marketing and Communications Risk Management Business Support Group.

The Executive Assistant will be assisting the administrative functions which could be clerical or administrative in nature of the Market Group (MG) assigned. Furthermore it is crucial for this role to have good communication skills as there will be a need to communicate to the different groups within the addition there may be instances that you will be needing to act as a reliever to the Group Secretary or render overtime.

What we look for

  • Qualifications:
    • Bachelors/College Degree in any field but preferably in Business Administration
    • Proficient in MS Office (Excel Word and PowerPoint)
    • Has ease in operating all necessary office equipment including printers and fax machines
    • Executes professionalism in handling telephone calls and emails
    • Excellent organization skills and ability to multitask and prioritize work
    • Excellent communication skills written and verbal
    • Has good team-building skills and can work with minimum supervision
    • Is flexible on work arrangement
    • Commitment to discretion and confidentiality concerning sensitive company information
    • Fresh graduates are welcome to apply

Duties and Responsibilities

Administrative

  • Manages and coordinates the daily/weekly/monthly appointments and travels of the Partner
  • Prepares the logistic requirements for Partners meetings (in-house on-site and teleconference)
  • Coordinates with HR and/or Travel Management tor Partners travel logistics

Communications

  • Answers/screens/places phone calls
  • Handles incoming and outgoing Partners letters and documents
  • Drafts correspondences as required by Partner
  • Reviews proofreads and edits documents developed for Partners signature

Records and office supplies

  • Maintains client-related files as needed
  • Maintains and updates client mailing database
  • Prepares Partners weekly time report
  • Prepares Partners expense liquidation report
  • Prepares time report of cluster members who are out of the office
  • Monitors and requests tor office supplies needed by the cluster
