Position Summary

Reporting to the Clinical Curriculum Officer the incumbent is responsible for the delivery of the curriculum within Undergraduate Medical Education (UGME). The incumbent will administer activities for students and ensure students benefit fully from their University experience. This position is will be primarily dedicated to the Clinical aspects of the curriculum but will be assigned to support the Unit where the need is greatest as needed.

Primary Responsibilities/Typical Functions:

  • Act as resource person by providing guidance and assistance to a diverse student population course directors lecturers small group etc.
  • Resolve a high volume of complex issues from a variety of clients including students presented via phone calls e-mails and drop-ins.
  • Develop course schedules. Ensure rooms are booked for exams lectures and small group sessions. Distribute schedules to students lecturers and other stakeholders.
  • Ensure that all course information including lecture recordings is accessible to students through the McGill Learning Management System (currently myCourses).
  • Administer all aspects of the logistics of written examinations.
  • Act as chief invigilator. This includes training invigilators assigning invigilator duties and ensuring that Faculty and University policies are followed during examination periods.
  • Develop maintain and make all necessary changes to schedules due to student absences and leaves. Enforce Faculty policy on absences and leaves.
  • Administer and execute the organization of remediation on course elements for students.
  • Monitor student performance and develop implement and maintain a grade spreadsheet for all students. Track and follow-up on student assessment as needed.
  • Develop and implement a course evaluation schedule ensuring that lecturers small group tutors and overall courses are evaluated by students. Distribute and report on these results to the Associate Dean and course directors and ensure prompt feedback sent back to lecturers and small group tutors.
  • Ensure accurate and prompt payment for lecture and small group teaching as well as payments to chief tutors and invigilators.
  • Plan and coordinate committee meetings including planning and execute meetings.
  • Oversee the elective registration process for all students and ensure compliancy with the Electives and Observerships Policy of the program.
  • Maintain the electives website as well as the request portal ensuring all changes are made in a timely manner.
  • Transfer elective registration data to the programs scheduling system (one45) on a regular basis.

Other Qualifying Skills and/or Abilities

Demonstrated experience and knowledge of undergraduate medical education at McGill an asset. Client-focused with a high level of tact diplomacy professionalism and a demonstrated ability to build and maintain appropriate rapport and constructive and effective relationships with internal and external stakeholders. Must have strong organizational priority-setting and problem-solving skills. Excellent interpersonal and communication skills both verbal and written English and French and be able to work autonomously and as part of a team. Must be able to provide advice solutions and timely information to assist in administrative procedures and problem solving. Ability to track analyze and synthesize a high volume of information and to handle multiple projects and meet strict deadlines. Demonstrated knowledge and understanding of McGill University the Faculty of Medicine McGills teaching hospitals and the accreditation process an asset. Ability to take initiative and work with minimal supervision. Attention to detail and high level of accuracy is vital. One 45 myCourses and Banner experience are assets. Excellent computer skills at the advanced level with office software packages including advanced knowledge of Word PowerPoint and Excel programs. Excellent level of spoken and written French and English.
