Job Summary

Overview

Working with the Farm Management team you are primarily responsible for assisting operations of the farm including: office duties safety quality control and plant and farm reporting.

Education

High school diploma or equivalent
A certificate or diploma in Office Administration or similar is an asset

Experience

1-2 years of previous experience in an office role is preferred
A farming background is an asset

Licenses and Certifications

A valid drivers license

Knowledge & Skills

Intermediate knowledge of Microsoft Office
Effective communication skills both written and verbal
Keen attention to detail
Ability to prioritize and meet deadlines
Experience with Quickbooks and basic bookkeeping

Physical Demands

Sitting with computer work; 6-8 hours per day
Keyboarding & reading a computer screen; 4-7 hours per day
Standing/walking; less than 1 hour/day
Limited to lifting bending reaching or crouching
Daily local commuting and some travel to other plant locations may be required on occasion

General Duties & Responsibilities

Office
Answer screen and transfer inbound calls
Greet and direct incoming customers and/or visitors
Sort and distribute incoming mail or communication
Daily bookkeeping tasks including entering seed sale invoices and accounts payable invoices into QuickBooks Online
Maintain lunchroom/office supply inventories and submit orders as needed
Post updates on employee communication boards as needed - HR Safety Quality
Coordinate interoffice communications
Other administrative duties as assigned by management
Help maintain receivables/payables folders and monitor the SFJV email
Processes accounts payable invoices and generates payments via cheques and credit cards.
Safety/Quality Control
Reports to management on Quality Assurance
PPE equipment tracking
Plant
Assist with logistics by assigning seals BOLs tracking seed cleaning.
Farm
Grain inventory tracking
Collaboratively coordinating grain contracts seeding harvest bin movements
Submitting all field samples after harvest to elevators and Discovery Seeds
Working with elevators for grain deliveries and payment of contracts
Maintain spraying seeding and harvest records in AgExpert Field
Track all seed cleaning paperwork and send samples for lab testing
Seed Sales
Seed sales contracts for production contracts through Grain Buyer
Assist in seed sales
Make sure all seed positions and paperwork is kept up to date
Enter all pickup invoices into QB
