ESSENTIAL DUTIES FUNCTIONS AND RESPONSIBILITIES

  • Process documentation for stock item receipts (Direct Issues/Stores Stock) maintain such items in a supply room or similar storage area issue supplies keep records reorder when supplies are low or at a specific reorder point prepare standard reports such as variances between actual and estimated costs and perform related stock receipt storage control and issue functions for medical supplies. Indicates replenishment quantity to meet the user needs prevent outages and minimizes inventory costs.
  • Coordinates with OR and Anesthesia staff schedulers and designated Operating Room staff regarding recurring supplies and specialty items for planned operations and procedures.
  • Use of purchase card to streamline and expedite purchase of urgent and emergent supplies when needed.
  • Coordinates with Supply and Finance Department for instituting and maintaining inventory barcoding system for tracking and billing purposes of operational stock items when system is established by TMC.
  • Contact customers and/or vendors and others to obtain material status information follow up on urgently required items and/or expedite delivery of supplies to the operating room regarding all surgical specialties (OB/GYN Orthopedics Podiatry General ENT etc.).
  • Investigates reconciles recurring discrepancies relating to actions such as receipt control stock control inventory adjustments.
  • Initiate prepare edit and process requisitions to stock additional supplies or replenish supplies.
  • Search catalogs records or other data sources to obtain or correct stock numbers or to find authorized substitutes for stock items.
  • Maintain an accurate accounting and reporting system for medical supplies and perform standardized supply management control processes.
  • Operate computer terminals or personal computers to perform records search data input and data corrections.
  • Maintains par levels for departmental supplies.
  • Informs customers of supply shortages and ensures all shortages are ordered in a timely manner.
  • When the supplies are delivered from Prime Vendor a joint inspection is conducted to insure all supplies to department storage areas.
  • Receive and screen pick lists or other documents specifying supplies or medical supplies needed for planned operations or procedures.
  • Responsible for ensuring the accounting package is accurate to the inventory holding.
  • Processes the Inventory Adjustment form for damaged and/or expired supplies for disposition and inventory adjustments.
  • Conduct physical inventories and adjust and/or maintain inventory stock and/or supply records.
  • Physical inventory is conducted biennial and participates in scheduled cycle counting.
  • Participate in continuous quality improvement projects.
  • Ensures that stored medical grade products are separately stored from industrial grade products.
  • Completes yearly Center for Medicare & Medicaid Services (CMS) required training by due dates.
  • Performs other duties as assigned.

MANDATORY MINIMUM QUALIFICATIONS

Experience:

Two (2) years of stocking inventory management storeroom or warehouse experience or recent direct experience.

Education:

High School Diploma or Equivalency (HSE).

Valid American Heart Association (AHA) certification in Basic Life Support (BLS) and maintain certification.
