Position Summary

Join a mission-driven team dedicated to supporting the generosity that fuels Fresno Pacific Universitys vision. The Advancement Services Gift Processor plays a vital role in creating a positive and seamless donor experience by ensuring each gift is processed with accuracy care and professionalism.

This role is essential to the behind-the-scenes operations that empower scholarships programs and initiatives across the university. Working closely with the Advancement Services Coordinator the Gift Processor helps steward donor relationships by preparing timely gift receipts providing helpful support for donor inquiries and keeping donor records current and reliable.

Essential Functions

  • Act promptly and decisively in conducting the full range of activities required to research various grant opportunities and prepare submit and manage grant proposals (from Service section).
  • Capacity to manage simultaneous projects to meet firm deadlines.
  • Model accepted standards and ethics of professional fundraising and standardized project management.
  • Process incoming gifts daily under the direction of the Advancement Services Coordinator.
  • Assist with the preparation of gift receipts and acknowledgment letters for prompt mailing.
  • Assist the Advancement Services Coordinator in responding to donor gift inquiries and annual statements providing accurate information.
  • Maintain accurate and well-organized gift documentation and filing systems.
  • Enter and update donor and constituent information as assigned including addresses phone numbers emails and coding updates.
  • Support the Advancement Services Coordinator in maintaining data integrity by verifying records correcting errors and completing assigned data updates.
  • Assist with routine updates to Colleague records including alumni employment and communication details.
  • Participate in address maintenance tasks such as NCOA updates and post-mailing data cleanup.
  • Assist with assembling reports and data lists as requested by the Advancement Services Coordinator or Executive Director of Advancement Services.
  • Provide support for larger data projects mailings or phone calling efforts as directed.
  • Maintain inventory and ordering of receipting supplies when needed.
  • Perform quality checks on gift batches and documentation to ensure accuracy and compliance with established procedures.

Qualifications

  • Associate of Arts degree or equivalent experience.
  • Knowledge in Microsoft Office Suite - word processing desktop publishing spreadsheet web editing and presentation tasks/assignments.
  • Strong written and verbal communication skills; ability to write clear structured and articulate business communications.
  • Organizational and time management skills to coordinate projects and people prioritize and track multiple projects simultaneously and meet critical deadlines.
  • Attention to detail.

Preferred:
  • Bachelors degree or equivalent experience
  • One year of experience in working with donors and gifts.
  • Experience in a multi-site multi-program university.

University Information

Environmental Conditions:

  • Indoors in a normal office environment with little exposure to excessive noise dust fumes vibrations and temperature changes at least eighty percent (80%) of the time.
  • Frequent computer use at a workstation up to eight hours per day.
  • Frequently work at a fast pace with unscheduled interruptions.
  • Drive personal or University vehicles to appointments.
  • Public contact position requiring professional apparel personal hygiene and grooming.

Physical Demands:
  • This position typically functions indoors in an office environment with light to moderate noise associated with business office equipment. The position may involve travel for meetings and events.
  • While performing the duties of this job the employee is regularly required to: remain in a stationary position 80 % of the time be able to move about inside the office to access file cabinets/office machinery etc. operate a computer and keyboard and other office productivity machinery such as calculators/copy machines/printers. The employee is occasionally required to position self to reach items on the floor and in high cabinetry.
  • The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 40 pounds. Employee must be able to communicate with others to exchange information including both over the telephone and in-person communication with callers and community members and be able to read a computer screen and paper documents.

$35360 $42640 is the starting annual salary for this role and reflects what Fresno Pacific University reasonably expects to pay for this position. Actual compensation may vary based on qualifications experience and internal addition to compensation Fresno Pacific University offers a competitive benefits
