Hours: 36 hours per week Monday to Friday
Working Pattern: 7:00am 4:00pm on a rota basis (occasional weekend work may be required)
Contract Type: On-site only (not a hybrid role)

About the Role

The Building Services Team (FM) at Bridge Road Depot is recruiting a Facilities Officer to join our friendly and busy team. This is a full-time on-site role that provides essential support to ensure the depot operates safely efficiently and to a consistently high standard for all internal colleagues.

Facilities Officers play a vital role in the smooth running of the building. The position is varied fast-paced and at times challenging requiring proactive problem-solving strong teamwork and a commitment to excellent customer service.

What Were Looking For

We are seeking someone who demonstrates:

  • Resilience and the ability to manage a busy workload
  • A strong customer focus with exceptional customer service skills
  • Confidence using IT systems and the ability to learn bespoke systems (e.g. the ID card system; Fusion; Teams)
  • Good general administration skills
  • Ability to carry out routine building inspections and act on findings
  • Willingness to undertake fire warden duties including fire alarm testing
  • Strong teamwork and a warm friendly and approachable manner
  • A proactive attitude with the desire to resolve issues at first point of contact
  • Accurate data entry and record-keeping skills
  • Physical fitness sufficient to undertake the tasks required of the role

Key Responsibilities

Your duties will include but are not limited to:

1. Post Room Activities

  • Managing incoming and outgoing mail and distributing it across the site.

2. ICT Equipment Management

  • Managing the return or disposal of ICT equipment that is no longer required.
  • Raising ICT requests to repair or replace faulty or damaged ICT kit including equipment in meeting rooms.

3. General Building Administration

  • Supporting a range of administrative tasks to ensure smooth daily operations.

4. Monitoring Facilities Standards

  • Checking standards such as building cleaning and window cleaning.
  • Reporting issues to the Contract Support Officer or Soft FM Manager.

5. Housekeeping of Common Areas

  • Ensuring kitchens meeting rooms and breakout spaces remain tidy safe and free from obstructions.

6. Maintenance of Water Dispensers and Coffee Machines

  • Ensuring both are serviced stocked and maintained appropriately.

7. Repairs and Work Requests

  • Identifying and recording issues and raising work requests via the FM Helpdesk.
  • Providing access to contractors supervising as required and reporting on job completion and standards.
  • Carrying out routine building inspections recording data and acting on findings.

8. Health & Safety Compliance

  • Ensuring safe working practices at all times and complying with organisational health and safety requirements.

9. Office Supplies Management

  • Coordinating stationery and paper supplies and maintaining adequate stock levels.
