About the role
We have an exciting opportunity for a highly organised and proactive individual to join our team as Safety Excellence Project Coordinator. This role is central to supporting DS Smiths multi-year Safety Excellence programmea cultural transformation initiative focused on elevating how we work safely every day at every level.
Working closely with the Project Manager and wider HSE team you will provide essential coordination and administrative support to ensure the successful delivery of project milestones. From managing training logistics to maintaining project documentation and reporting you will play a key role in keeping the programme on track and aligned with strategic objectives.
Key responsibilities include:
- Coordinating day-to-day project activities schedules and documentation ensuring clear visibility of progress and alignment with HSE priorities
- Managing all training logistics including scheduling sessions booking venues loading sessions into Percipio
- Liaising with DEKRA for 360 survey participation and tracking engagement
- Handling printing and distribution of training materials and collating feedback post-workshops
- Supporting hub site hosts to ensure smooth delivery of training events
- Maintaining and monitoring project tools such as dashboards logs and change documentation to track progress and manage risks
- Tracking training participation and providing site-level reports to support contract targets and adjustments
- Assisting the SIF Prevention Lead with collation of safety data (incidents audits inspections observations) for sharing with DEKRA
- Providing ongoing support to the Head of HSE and HSE teams including meeting coordination document management and system enhancements
- Occasional travel (approximately 10%) for in-person meetings or field support.
About you
- Demonstrable experience in project coordination or administrative support within a complex organisation
- Strong organisational skills with the ability to manage multiple tasks and deadlines effectively
- Excellent attention to detail and proficiency in managing documentation and reporting
- Experience with learning management systems (LMS) and training logistics is highly desirable
- Strong communication and stakeholder engagement skills with the ability to work collaboratively across teams
- Proactive adaptable and resilient with a commitment to supporting cultural transformation and continuous improvement
Location: This is a hybrid role split between the office in London Paddington (3 days in office) and home (2 days).
