TheDepartment of Community ServicesCommunity Assistance Divisionis hiring a Supervising Office Assistant II in Honolulu to oversee office support to all sections of the Rental Assistance Branch which provides rental subsidies and assistance to low-income families on Oahu. This supervisory position is critical in supporting the Branchs function of providing housing rental assistance to members of the community.

What You Will Do:
  • Manage Office and Communications Operations
    Oversee telephone email and written communication protocols; train staff on communication systems; and maintain daily office schedules including reception phone coverage and mail processing.

  • Oversee Records and Information Management
    Establish and standardize filing systems; implement procedures for document storage retrieval scanning and secure destruction; monitor document organization; and ensure completion of reconciliation reports and required submissions.

  • Process and Monitor Housing Assistance Payments
    Provide procedures for payment processing; supervise staff in collecting preparing and verifying payment information; ensure compliance with BFS accounts receivable procedures; handle complex complaints; oversee collections reconciliations vendor coordination EFT processing and cash-handling procedures.

  • Manage Equipment Supplies and Inventory
    Purchase and distribute office supplies; maintain inventory controls; ensure proper care and maintenance of office equipment; train staff on equipment use; and maintain branch vehicle records.

  • Perform other duties and responsibilities of the position.

Minimum Qualification Requirements

At the time of application you must be a citizen national or permanent resident alien of the United States or a non-citizen eligible under federal law for unrestricted employment.

EDUCATION REQUIREMENT:
Equivalent to graduation from high school. Responsible work experience that demonstrated the ability to perform the essential functions of the job may be substituted for education.

EXPERIENCE REQUIREMENT:
Four years of clerical experience one of which shall have involved public contact work which required:

  1. providing information
  2. answering questions and inquiries and
  3. explaining policies rules and regulations in person or by telephone.
Such experience must also include or be supplemented by work experience demonstrating supervisory aptitude or potential for the performance of supervisory duties through successful completion of regular or special assignments which involve some supervisory responsibilities or aspects.


Substitution: Business school or college will substitute for experience on a month-for-month basis for up to two years of the required four years of clerical experience. There isNOsubstitution for the one year of clerical experience involving public contact work which requires providing information answering questions and inquiries and explaining policies rules and regulations in person or by telephone.

The education requirement must be met at the time of application. Education obtained outside of the United States must be comparable to a degree earned at an accredited college/university in the United order to receive credit for the education proper documentation e.g. a foreign credential evaluation (FCE) must be provided. We also reserve the right to request further information about your academic program evidence of comparability or an original transcript.

LICENSE & CERTIFICATION REQUIREMENTS:
