The Assistant Director plays a key role in supporting these committees and advancing Ponca City Main Streets mission.
Position Overview
The Assistant Director supports the daily operations of Ponca City Main Street manages key organizational functions and works closely with the Executive Director to deliver high-quality programs events and community engagement efforts.
This position is ideal for a high-energy detail-oriented professional with strong communication skills the ability to lead volunteers and a passion for community development.
Key Responsibilities
Administrative & Operational Support
Support daily office operations by serving as a key point of contact for the program.
Maintain organized office systems files and documents.
Assist with drafting reports correspondence and internal communications.
Support the Executive Director with scheduling calendars meeting prep and follow-up tasks.
Bookkeeping & Financial Management
Work closely with the accounting firm to ensure accurate financial operations.
Process invoices pay bills track expenses and maintain financial records.
Assist with budgeting documentation and filing.
Manage investor billing tracking invoicing and acknowledgement letters.
Committee Leadership Support
Assist committee chairs with agenda preparation taking minutes updating action plans and keeping projects on track.
Help coordinate volunteers and committee communications.
Support workplans and ensure documentation is accurate and up to date.
Marketing & Communications Management
Oversee Ponca City Main Streets marketing efforts across all channels.
Manage and schedule social media content.
Draft and distribute press releases.
Produce monthly e-newsletter with updates highlights and event info.
Work with local businesses investors and partners to promote downtown.
Investor Relations
Maintain strong relationships with current and prospective investors.
Track investor benefits communication and engagement.
Prepare and send thank you notes renewal reminders and sponsorship acknowledgements.
Assist with growing the investor base and coordinating recognition opportunities.
Event & Program Support
Assist in planning coordinating and staffing Main Street events throughout the year.
Communicate with vendors businesses volunteers and stakeholders.
Support event logistics including setup check-ins execution and follow-up.
Required Skills & Qualifications
Strong written and verbal communication skills.
Excellent organizational abilities and attention to detail.
Ability to manage multiple projects simultaneously.
Proficiency with Microsoft Office Google Workspace and basic design tools (Canva preferred).
Experience with bookkeeping financial tracking or invoicing.
Comfort with public communication community engagement and volunteer coordination.
Ability to work independently and handle confidential information.
Work Environment Schedule & Non-Negotiables
Standard office environment with occasional lifting of event materials (up to 50 lbs) walking and standing for events
Attendance at after-hours and weekend Main Street events is required (annual calendar provided).
Up to one week of required work travel per year for Main Street training and conferences.
Five meetings per month (committee meetings and board meetings).
Flexible schedule available with advanced coordination.
Remote work may be approved once training and performance milestones are met.
Compensation & Benefits
1 week paid vacation per year.

Limited remote flexibility is available but this is primarily an in-office position.

Director
