The Opportunity
The Test Scheduling and Accommodation Assistant supports the effective coordination of testing accommodations for students registered with Student Accessibility Services. This position manages the daily operations of test and exam scheduling through the Accommodate platform and ensures that testing accommodations are implemented accurately and confidentially. The workload for this role varies throughout the academic term with periods of higher demand during midterms and final exams.
Hours of work: Part-Time (20 hours per week)
Term: Temporary (to April 30 2026)
Classification/Level: Provisional Band 1
Salary Range: $36285 - $50020
Closing Date: Thursday December 11 2025
What youll do
Responsibilities
Test Scheduling and Workflow Management
- Manage the test booking and scheduling workflow within Accommodate including reviewing requests approving or adjusting test times and communicating updates as needed.
- Ensure each students testing accommodations are accurately reflected in the schedule while maintaining strict confidentiality.
- Coordinate the preparation of test folders and ensure all tests and exams are received from faculty in advance.
- Monitor and maintain records of all scheduled tests to ensure accuracy and completeness.
Communication and Coordination
- Serve as a point of contact for faculty regarding testing procedures accommodations and parameters.
- Communicate with invigilators and coordinate invigilation schedules.
- Provide timely updates to students and faculty about changes or confirmations to test bookings.
Test Administration and Invigilation
- Invigilate tests and exams as needed.
- Oversee testing spaces to ensure appropriate conditions are maintained.
Space and Resource Management
- Book overflow testing rooms as required when demand exceeds available space.
- Ensure proper setup and organization of testing environments.
What youll need
Qualifications
- A bachelors degree is required.
- 6 months to less than 2 years of administrative experience is required.
- Strong organizational and time-management skills with the ability to handle shifting priorities and last-minute changes.
- Excellent communication and interpersonal skills with a customer-service orientation toward both students and faculty.
- High attention to detail and accuracy in managing confidential information.
- Proficiency with online systems; experience with Accommodate or similar CRM platforms is an asset.
- Proficiency with Learning Management systems; experience with Moodle an asset.
- Ability to work independently and collaboratively in a busy office environment.
Workload and Flexibility
The volume of testing accommodations varies throughout the semester. During peak periods such as midterms and final exams this position may require full-time hours. During quieter periods weekly hours will be reduced accordingly. Flexibility in scheduling is essential to meet the fluctuating needs of the testing schedule and to support other office priorities when possible.
