The position / About the job:
Key Responsibilities in this role:
Register customer orders and monitor the entire order settlement process including delays rescheduling holds and TBA (To Be Advised) cases.
Ensure timely booking and processing of work orders in the ERP system.
Create service requests execute invoicing and ensure timely job closure. Maintain accurate records of orders received booked pending and executed.
Update ERP entries regularly to reflect changes in order status PO amendments and service progress.
Prepare and maintain documentation for returns commissions credit/debit notes and customer claims.
Submit quotations and proforma invoices (PI) and follow up on approvals and feedback.
Address customer inquiries and resolve issues related to service orders and billing.
Collaborate closely with sales teams for purchase order amendments and clarifications.
Coordinate with service managers finance and other stakeholders to minimize DNI (Days Not Invoiced) and resolve deviations.
Support service execution teams with order-related inputs and updates.
Assist in onboarding new customers by setting up order handling protocols and documentation.
Maintain master data accuracy for customers products orders and services in ERP.
Provide training or guidance to junior staff or new team members on order handling procedures.
Generate and analyse monthly and quarterly reports on order status service performance and customer feedback.
Identify bottlenecks and contribute to continuous improvement initiatives in order handling and service delivery.
Participate in internal audits and compliance checks related to order processing.
Submission of service tenders on various government portals.
Who you are
Order Handler - Pune would work towards the Customer Order management from the point of view of ensuring the compliance to the Alfa Laval Policies & SOP during Order Execution process effectively reviewing the order recorded in ERP systems and approving it for further process/ actions to initiate. This Role Acts as an Important Check Gate for realization of Order Booking in the system and Invoicing of services to the external customer.
What you can be
Min. qualification would be a diploma/ graduate Engineering with exemplary track record.
Satisfactory knowledge of Order Management with clarity of service repair and commercial processes.
3-5 years of experience of working in Service/manufacturing / EPC / Engineering sector
