VHIR offers vacant position for a Secretary Admin Assistant in order to give administrative and secretarial support to the Directors Area in accordance with the values and goals of the institution.
Education and qualifications:
Required:
- Preferably studies in Business Administration or similar either degree or advanced vocational training (CFGS/FPII).
- Proficiency in Spanish and Catalan (C2) and fluent in English (B2/C1).
Experience and knowledge:
Required:
- At least 5 years of experience performing similar tasks preferably in medium or large size organisations. Experience as an office assistant is not essential but will be valuable.
- Advanced Knowledge of Office Package and main tools of email and internet.
- Excellent Internal and external customer focus service.
- Strong commitment.
- Proactivity mainstreaming teamwork and discretion as core skills.
- Excellent communication interpersonal abilities time management organisational and problem-solving skills.
- Ability to prioritise tasks along workloads.
Main responsibilities and duties:
- Proficient management of Directors schedules and agendas.
- Professional telephone assistance and communication.
- Creation and design of high-quality presentations.
- Preparation and organisation of documentation for meetings and events.
- Comprehensive travel planning and coordination.
- Efficient management of the contacts database.
- Maintenance of both physical and digital archives.
- Provision of administrative support.
- Execution of additional tasks as assigned by Directors.
Labour conditions:
- Full-time position: 40h/week.
- Starting date: immediate
- Gross annual salary: Remuneration will depend on experience and skills. Salary ranges are consistent with our Collective Agreement pay scale
