Job Description: Business Operations Coordinator

Position Summary
The Business Operations Coordinator occupies a critical role within the firm serving as a key conduit between business and security operations. The role is uniquely structured to allocate a majority of time to essential business operations including supporting management of marketing client support requests invoicing and financial estimates.

Responsibilities include logistical and back-end support for the risk advisory services team across a range of service lines such as training security advisory travel risk management and cloud-based systems. The aim is to facilitate the security operations team in delivering exceptional service quality particularly for clients operating in higher risk environments.

As the firm expands this position offers the opportunity for career growth initially from a part-time role to a full-time role for well-rounded and enthusiastic candidates. While the role is predominantly remote allowing for work-from-anywhere flexibility occasional international travel may be required albeit infrequently. This is a full-time role with occasional surge support capacity required.

Primary Duties and Responsibilities
  • Business Operations
  • Utilization Reviews: Conduct detailed reviews of billable time records to ensure accurate and efficient invoicing.
  • Invoicing and Estimate Support: Collaborate with finance stakeholders to develop accurate invoices and estimates for clients.
  • Financial Oversight Support: Manage and provide oversight with direct reporting to the firms leadership on payables and receivables ensuring timely payments and collections.
  • Management Reporting: Deliver comprehensive weekly and monthly reports on business operations activities to the firms leadership.
  • Business Development: Support the firm in business marketing and development activities.
  • Social Media Management: Assist in maintaining and updating the firms social media platforms to include providing oversight on the firms security analyst team posts and communications on regional security alerts and updates.
  • Meeting Management: Coordinate internal and external meetings ensuring optimal productivity and information dissemination.

  • Security and amp; Intelligence Operations
  • Logistical Support: Provide logistical and administrative support to the risk advisory services team for client and business development engagements.
  • Travel Management: Leverage the firms travel booking system to execute confirm and optimize business travel arrangements thereby streamlining the travel process for maximum efficiency and cost-effectiveness.
  • Training Systems: Provide support for training system support to include providing support to Risk Advisory team members on the firms Learning Management System monitoring and responding to support tickets coordinating enrollment and system response with clients.
  • Security and amp; Intelligence Operations: Provide support for ongoing security and intelligence functions coordinating and supporting security support requests intelligence platform publishing management emergency and crisis response administrative support during activations.

Qualifications
  • Bachelors Degree in Business Management Project Management Operations Finance or related field preferred.
  • Minimum of 2 years experience in operations management
  • Excellent organizational and multitasking skills.
  • Proficient in financial software and Microsoft Office Suite.
  • Certification in PMP Prince2 or other equivalent Project Management domains preferred.
