DescriptionThe Accounting Associate plays a critical role in supporting the financial and administrative operations of the Health & Human Performance (HHP) department. This position manages all aspects of departmental budgeting purchasing and financial reporting ensuring compliance with university policies and fiscal integrity. The role also provides administrative support to the Department Head and collaborates closely with College of Health Education and Professional Studies (CHEPS) staff and other campus partners to maintain smooth operations.
ResponsibilitiesBudget & Financial Management
- Prepare payroll summaries for fall spring and summer terms.
- Process new hire and adjunct faculty paperwork and payroll.
- Manage grants and contracts including processing and reconciliation.
- Maintain ledgers and reconcile accounts.
- Prepare detailed check registers (bi-weekly and monthly).
- Handle purchasing travel arrangements and procurement card reconciliation.
- Submit invoices and reconcile T-4s.
Administrative Support
- Collect store and retrieve data; generate reports for departmental needs.
- Conduct classroom inspections (AV equipment desks chairs).
- Coordinate guest speakers and travelers.
Cross-Training & Collaboration
- Work with administrative staff to complete routine operations.
- Provide backup support for Administrative Support Assistant as needed.
Supervision
- Supervise work-study students.
Knowledge Skills and Abilities:
- Strong accounting and fiscal policy knowledge.
- Excellent customer service and communication skills (verbal written nonverbal).
- Advanced computer skills (MS Office Suite Adobe Acrobat Oracle).
- Ability to organize retrieve data and generate reports accurately.
- Professionalism and ability to manage office traffic effectively.

Qualifications- High school diploma or GED.
- Two years of administrative and accounting-related experience.
Preferred
- Bachelors degree
- Experience with Oracle and Banner software.
