JOB TITLE: BOOKKEEPER/SCHOOL TREASURER
FLSA STATUS: NON-EXEMPT
GENERAL STATEMENT OF JOB
Under general supervision prepares and maintains financial records reports and statements. Works with various departments to oversee the administration of budgets and addition regular communication is maintained with the school principal and the Finance Office of the school system with regard to financial matters. Serves as school payroll operator and liaison between school staff payroll specialist and the central office. Reports to the school principal.
DUTIES AND RESPONSIBILITIES
ESSENTIAL JOB FUNCTIONS
- Maintains accurate financial records of all individual school accounts in compliance with applicable laws and Board policies.
- Prepares purchase orders and invoices.
- Prepares checks and processes for mailing.
- Responsible for the collection and receipt of all student fines and funds.
- Maintains checking accounts and makes daily bank deposits.
- Monitors all budget balances and ensures that funds are spent by deadlines.
- Receives all incoming shipments to verify receipt and distribution to the proper location.
- Uses general office machines such as copiers computers etc.
- Maintains confidentiality in matters relating to the school.
- Prepares reports and spreadsheets as needed.
- Prepare and maintain the monthly payroll for all school employees.
ADDITIONAL JOB FUNCTIONS
- Assists in a variety of school operations; performs special projects and assignments as requested; prepares reports.
- Gathers assembles and summarizes data and information.
- Participate in the duties related to the administration of an office.
- Responds to complaints and requests for information.
- Other related duties as assigned.
MINIMUM TRAINING AND EXPERIENCE
Graduation from high school with preference given to an Associates Degree in bookkeeping or accounting or an equivalent combination of education training and experience that provides the knowledge skills and abilities required to perform the job functions.
MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
Physical Requirements: Requires light physical work. Must be able to lift to ten pounds. Must be able to sit at a computer for extended periods of time.
Interpersonal Communication: Requires the ability to speak and/or signal people to convey or exchange information. Includes giving instructions assignments or directions to staff and students.
Language Ability: Requires the ability to read complex forms and reports. Requires the ability to prepare data sheets using the prescribed format.
Intelligence: Requires the ability to apply common sense understanding to carry out instructions furnished in written oral or diagrammatic form; to deal with problems involving several concrete variables in standardized situations.
Verbal Aptitude: Requires the ability to record and deliver information to explain procedures and to follow oral and written instructions. Must be able to communicate effectively and efficiently in standard English.
Numerical Aptitude: Requires the ability to utilize mathematical formulas to add subtract divide and multiply.
Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under moderate to high levels of stress.
Physical Communications: Requires the ability to talk write and hear.
Other: Must be eligible for being bonded
KNOWLEDGE SKILLS AND ABILITIES
- Skills of keyboarding with accuracy at the speed necessary for the position
- Skills in operating a computer with word processing and spreadsheet applications.
- Knowledge of school-based purchasing procedures
- Knowledge of office practices and procedures
- Knowledge of bookkeeping.
- Working knowledge of accounting techniques and practices.
- Knowledge of maintaining a checking account.
- Ability to compile and summarize information.
- Ability to resolve problem situations with sound judgement.
- Ability to communicate effectively both orally and in writing.
- Ability to demonstrate proper telephone etiquette.
- Ability to maintain confidentiality.
- Ability to utilize positive human relation skills with all staff parents and students in fulfilling requests for assistance as appropriate.
- Ability to exercise independent judgment and initiative in completing work assignments.
- Ability to reason make judgments and maintain effective working relationships with others in exercising discretion and action in the performance of assigned work.
