Job Summary

Main Responsibilities

Human Resources Support

  • Administer all stages of the recruitment processes and related actions for all categories of staff while liaising with Human Resources Management (HRM) and providing hiring teams with guidance on process and best practices. Provide regular reporting to the RMU team on the status of current recruitment processes.
  • Organise the welcoming and onboarding / orientation of new staff and serve as the primary contact point for HR-related questions for new hires. Update welcome and integration materials as needed.
  • Carry out staff-related actions (contract extensions confirmation of probationary periods etc.) run monthly reports on staff actions required and signal any actions requiring immediate attention to the Senior RMA. Ensure timely follow-up on HR actions.
  • Assist with the co-ordination of SDDs performance management exercise providing assistance and advice to staff and ensuring that corporate deadlines are respected.
  • As the main point of contact in SDD for HR systems actively participate in all training offered by HRM and quickly develop expertise in any new tools or functionalities that are rolled out.  Provide guidance and training to staff on the use of these systems.

Financial and Administrative Support

  • Provide back-up and assistance to the Senior RMA on tasks related to budget management. This includes advising on the preparation of missions and other financial commitments checking the validity of supporting documentation and compliance with OECDs financial policies and practices and giving final electronic approval in the relevant systems.
  • Monitor non-staff expenditure including quota and ensure that expense claims and payments are done on time.
  • Assist in the annual closing of the accounts and opening of the following years accounts. 
  • Ensure compliance with OECDs financial regulations instructions procedures policies and practices using the corporate financial and administrative processes systems and tools. Review and update Directorate-specific guidance rules and procedures as necessary.
  • Maintain appropriate records in relation to the tasks above in accordance with the established filing systems.

Event management liaison and well-being

  • As needed provide support for the organization of large events including budget management and coordination of event logistics.
  • Actively liaise and collaborate with the RMA Community participating in relevant working groups and pilots.
  • Contribute to directorate-wide initiatives to improve team spirit and well-being.

Qualifications :

Ideal Candidate Profile

Academic Background

  • Secondary preferably post-secondary level of education and relevant experience in human resources and financial management.

Professional Background/Skills

  • Significant experience in a similar administrative role with responsibilities related to human resource and financial management preferably in an international organisation.
  • Good knowledge and understanding of the Organisations human resources management procedures policies and practices or those of another international organisation would be an advantage. Good knowledge of the Organisations financial rules and procedures would be an advantage.

Tools

  • Proficiency in HR management systems (for example SmartRecruiters Maki Javelo SAP HCM) and knowledge of financial systems (for example SAP ERP applications) would be an advantage.
  • Very good knowledge of and experience in the use of Microsoft Office Suite and Teams.

Languages

  • Fluency in one of the two OECD official languages (English and French) and knowledge of the other with a commitment to reach a good working level.

Selection Process

For retained candidates the selection process may include a video-recorded interview job-based assessment and panel interviews.

The tests and panel interviews are planned for January/February 2026.
