Job Summary

JOB TITLE: School Accountant & Budget Specialist

IMMEDIATE SUPERVISOR: Controller

FTE: 1 (8 hours)

POSITION START DATE: As soon as possible after hire

GENERAL DUTIES SUMMARY: The School Accountant and Budget Specialist assists the CFO and Controller in developing and monitoring the districts addition the School Accountant and Budget Specialist supports schools and departments in managing various budgets and training. Duties include technical gathering of budget information inputting information into systems preparing reports bookkeeper support and compiling additional information to inform school and department administration and the public. Additional duties include managing Associated Student Body funds other and PCard limits.

ESSENTIAL REQUIREMENTS & RESPONSIBILITIES

Financial Analysis

  • Assist Controller and Chief Financial Officer with budget analysis
  • Gather data related to finance demographics and any other useful metrics for budget comparisons and budget document enhancements
  • Review and identify changes in monthly salary and benefit reports

Budget

  • Develop information for budget document based on GFOA and ASBO checklists
  • Collect budget requests from schools and departments for input into or within the accounting software
  • Manage budget database when budget is developed
  • Serve as District budget support for school bookkeepers and District staff
  • Assist with preparation of State categorical budget reports to ODE and internally
  • Develop budget related information for community meetings and the administration
  • Train and support bookkeepers regarding budgets

Accounting & Special Projects

  • Manage PCard issuance and track balances on cards. Review reports for Merchant Category Codes quarterly
  • Inputs and reviews journal entries for approval related to ASB due to/due from reconciling activities; includes entry of Purchase Requisitions for transactions due to schools and vice versa
  • Monitors Associated Student Body Funds (ASB) by reviewing bank statements accounting reports and

assists schools in preparing for the annual review of the funds by the outside auditor

  • Manage individual licensed PEF accounts and maintain balance information
  • Serves as District support for school bookkeepers and other school staff
  • Troubleshoot bookkeeping and accounting errors
  • Maintains Donation accounts and Club funded accounts for each school/department
  • Works with Foundation to set up budgets for grants awarded to each school annually
  • Assists with external audit for both ASB
  • Supports secondary schools in preparation for annual audit
  • Ability to compile reports as needed for the schools and Business Office

ESSENTIAL EDUCATION FUNCTIONS AND CAPABILITIES

  • Prepare complex spreadsheets; analyze and calculate financial data
  • Write clear budget reports with accounting software
  • Master District and professional software programs
  • Prepare statistical data and compile necessary reports
  • Assist the Controller and Chief Financial Officer with special financial projects
  • Cross train within departments to support District needs
  • Complete training and/or classes that will enhance and modernize Department and District needs
  • Write budget and accounting reports
  • Draft clear and concise business correspondence and procedure manuals
  • Understand fund accounting
  • Communicate and respond to questions from administrators support staff vendors and the general public
  • Attend training and professional development as requested by supervisor
  • Interpret a variety of instructions furnished in written oral diagram or schedule form and clarify if needed
  • Use Districts prescribed applications to effectively manage documents
  • Exercise sound judgment when making decisions based on Department and District guidelines
  • Prioritize and implement multiple tasks under constrictive timelines independent of specific support or supervision
  • Remain flexible when normal duties and schedules are interrupted or changed to meet the needs of the Department or District
  • Read comprehend and employ documents including but not limited to computer software manuals job specific technical manuals District Policies and Procedures and other professional documents
  • Work as self-starter and problem solve

TERMS OF EMPLOYMENT

This is a twelve-month assignment on the M range of the Classified Salary Schedule. The assignment of the step will be in compliance with the current Collective Bargaining Agreement and range of pay is located in the current Classified Salary Schedule.

A new employee shall be allowed up to four (4) years of experience on the salary schedule based on actual years of experience on a job of like responsibilites and skills. $30.06 per hour
