DescriptionThe Office Coordinator (OC) supports the efforts of the Denbo Center for Humanities & the Arts at the University of Tennessee Knoxville (UT). The DCHA is a multidisciplinary research center that creates programming addressing the diverse research needs of UT faculty and graduate students. It also engages in humanities and arts advocacy and education through public humanities programming collaborations with regional national and international cultural organizations shared programming with nonprofit organizations and partnerships with an international network of humanities centers and institutes. The OC manages public facing and internal operations for the Center and manages data relating to programing and operations. The OC reports to the DCHA director.
ResponsibilitiesOffice Management: 60%
- Provides front-line customer service to internal and external stakeholders: greets visitors handles complaints and questions answers phone responds to email inquiries handles mail.
- Opens and closes DCHA suite monitors site security handles closures announcements.
- Identifies problems and interfaces with building management company and UT Facilities concerning building safety and security maintenance issues and custodial services.
- Assigns offices to onboarding Fellows monitors locker use handles issues related to parking annually orders and returns keys and handles DCHA space reservations by campus entities.
- Maintains all DCHA supply inventories: defines supply and equipment needs and works with financial staff on purchasing; handles requests for supplies; organizes and maintains mailroom/supplies area; keeps track of swag options and existing inventories.
- Oversees DCHA equipment maintenance and service reporting.
- Schedules and provides logistical support for DCHA meetings and daily management of the Center including space reservations for the suite room setup and organization vendor deliveries signage placements transportation and parking requests accessibility.
- Manages DCHA correspondence with program conveners and participants; monitors program deadlines and alerts program administrators of closing dates.
- Manages and files applications and award notifications; maintains program archives in print and electronic forms.
- Oversees meeting needs within the Center including photocopying of documents; recording distributing and filing minutes; refreshments; organizing gift items for speakers and invited guests; and creating itineraries for speakers and regular DCHA programming.
- Compiles and prepares meeting and program documents.
- Assists DCHA Event Planner when needed.
- Maintains accurate public and confidential program records: records and compiles data concerning program awards; gathers data and compiles program and operational and annual reports.
Communications liaison for DCHA: 40%
- Monitors DCHA email accounts responding to queries and questions and drafting correspondence on behalf of the program director.
- Handles Directors and Associate Directors calendars and coordinates with other DCHA stakeholders to schedule and calendar DCHA program meetings lectures and events.
- Keeps track of needed DCHA website and SharePoint updates as program definitions and participants change; submits requests for updates to the DCHA website to the College communications team.
- Handles and requests tech for the Center handles wi-fi issues sets up livestreaming webinar technology for meetings and events and oversees creation and archiving of Zoom and Teams meetings for DCHA programs.
- Informs DCHA research seminar conveners fellows and lecture hosts about publicity and communications procedures and is a liaison between DCHA event hosts and UT communications staff concerning publicity data collection and signage formatting.
- Collaborates with the College social media manager on content and schedules for social media postings through the Colleges Sprout Social account providing photos and captions as needed.
- Coordinates publication of DCHA electronic newsletters with the College communications team: collects information gathers data descriptions and photos; collaborates with College communications team on draft content; approves final newsletter mockup.
- Insures that DCHA publicity is posted to university advertising locations: digital signage boards; the UT Events Calendar; DCHA internal calendars; campus digital signage boards and poster bulletin boards; insures DCHA events are listed in local and regional publicity outlets by corresponding with organizations hosting public events calendars and storyboards.
- Updates and maintains DCHA mailing lists.
- Solicits and creates visual assets for social media reports and newsletters.
- Coordinates with College Communications on swag branding and graphics for DCHA signage and stationery.
- Works with College Communications staff on special publicity projects for the Center such as stories interviews and video reels.
- Creates attractive and accurate office reports program documentation and operational or procedural manuals. Tracks and compiles program data; works with UT Communications to track outreach data.
- Coordinates with College communications on content and images for DCHA annual report collecting programming and program participant information and writing draft stories.
QualificationsRequired Qualifications
- Education and Experience: Bachelors Degree OR High School diploma with 4 years office experience OR Associates degree and 2 years office experience.
- Knowledge Skills Abilities:
- Excellent oral and written communication skills; ability to communicate with diverse populations using tact and discretion.
- Knowledge of Microsoft Outlook Microsoft applications and Adobe applications; knowledge of basic office management.
- Ability to gather data compile information and prepare reports.
- Ability to communicate effectively via social media platforms such as Facebook Instagram X Bluesky LinkedIn and YouTube.
- Strong customer service skills.
- Ability to work as part of a team to execute programs effectively and efficiently; ability to work collegially with others.
- Demonstrated attention to detail with the ability to work independently on multiple projects with varying deadlines.
