Regional Program Finance Manager (RPFM)
This is a hybrid position and applicants must be based in the Phoenix area to be considered for this role.

Reporting directly to the Director of Program Finance and indirectly to the Regional Vice President the Regional Program Finance Manager (RPFM) plays a critical role in supporting regional offices and is responsible for managing document administration client invoicing program closeouts supplier onboarding timely cash collections and other finance-related administrative functions. The RPFM works closely with the local sales creative and design and event operation teams as well as the PRA Finance Department our vendor partners and our clients.
Primary Responsibilities Include:
Client Invoicing
- Work with the Program Performance Team to invoice clients for all deposits in a timely manner in accordance with contractual terms and master service agreements.
- Monitor incoming payments and follow up with clients as needed to ensure timely collections and minimal disruptions to program cash flow.
- Process client refunds when applicable ensuring all required documentation is complete and properly filed.
- Review the regions weekly A/R aging report and proactively follow up with clients on outstanding balances.
Program Closeouts
Collaborate with PRA Event Producers (EPs) and the Finance Department to complete the program close-out process within 15 days following event operations. Responsibilities include:
- Ensuring the highest standard of quality and accuracy in PRA invoicing by reviewing all client-facing documents for grammatical formatting and financial errors.
- Reconciling revenue detail to confirm proper classification and GL account recording and cost detail to ensure that final accrual amounts are as accurate as possible.
- Calculating and documenting any hotel third-party or special program commissions/rebates due to partners.
- Verifying the accuracy and proper recording of any applicable sales tax charges.
- Preparing a comprehensive financial package for the accounting team capturing all relevant financial and operational data from the program.
- Working with local teams and clients to process any necessary changes updates or adjustments including submitting a revised PCO when needed.
Supplier Onboarding and Maintenance
Own the setup and ongoing maintenance of regional supplier records ensuring credit accounts and payment terms are accurately established. Maintain up-to-date W-9s banking details and certificates of insurance with vendors while working directly to manage refund and commission amounts.
Miscellaneous
- Work with the Regional Vice President on any ad hoc financial reporting or project needs.
- Ensure Program Folders are up to date with all required documents.
- Oversee the petty cash or cash advance reporting of regional offices.
- Assist with regional time-tracking reports data maintenance and team communication.
- Support enhancements of PRA software including Salesforce and Event Cost Sheet when required.
Qualifications:
- Prior Destination Management Company event production or hospitality experience preferred.
- Bachelors or Associate Degree in Accounting Business Administration or Finance is a plus.
- Intermediate to high proficiency in MS Office and Excel; Salesforce and/or NetSuite experience is beneficial.
- Basic understanding of Accounting and Business principles.
- Ability to work both independently and collaboratively within teams.
- As needed ability to cross-trains with PRA Finance members and other RPFMs.
