Position Title: Administrative Assistant
Location: Phoenix AZ
Agency/Department: Arizona Department of Economic Security (AZDES) Division of Benefits and Medical Eligibility (DBME)
Position Type: Staff Augmentation
Hours: 40 per week Day Shift (8:00 AM 5:00 PM)
Duration: 12/15/2025 11/06/2026
Work Arrangement: On-site (Potential hybrid after training)
Security: Internal background check required (may take up to 1 month)
Local Candidates Only: Must be available for in-person interviews within 1 week of posting close and start within 2 weeks of offer.
Position Overview The Administrative Assistant will provide essential support to the AZDES DBME team performing a variety of administrative and operational tasks. This role requires strong organizational skills attention to detail and the ability to manage multiple responsibilities in a fast-paced environment.
Key Responsibilities - Operate switchboard systems to answer direct and transfer incoming calls; manage visitor check-ins; and perform general administrative tasks.
- Handle emergency calls monitor alarms and manage paging systems.
- Sort mail and provide basic customer service.
- Locate specialized doctors near claimants for requested exams and schedule consultative examinations (CE) including follow-up calls.
- Prepare and mail CE packets; fax paperwork to medical providers as needed.
- Respond to inquiries from claimants vendors and other sources regarding claim status or transportation assistance (e.g. mailing bus passes).
- Contact claimants doctors hospitals and attorneys to coordinate appointments obtain reports and provide status updates.
- Assist claim adjudicators with case development activities requiring analysis and judgment.
- Track and ensure completion of daily assignments using internal systems.
Required Skills - Strong customer service skills (internal and external)
- Scheduling/front desk experience
- Proficient computer skills
Preferred Skills
- Bilingual (English/Spanish)
Minimum Qualifications - High School Diploma or equivalent
- Entry-level experience in administrative or customer service roles
Additional Information - No travel required
- Must pass an internal background check
- Candidates must reside locally in Arizona at the time of submission
