This is a remote position.
Respite Care of San Antonio (RCSA) provides services to enhance the stability and nurturing opportunities of families caring for a loved one with developmental disabilities and/or complex medical diagnosis. Our goal is to strengthen and stabilize families prevent possible child abuse and prevent or delay institutionalization of the child with special needs.
We offer various services for children with developmental disabilities and/or complex medical diagnoses such as a full-time daycare mothers day out program family day out/parents night out program and summer camps. Along with this we are a licensed emergency shelter and foster placement agency for children who have been taken into state protective custody.
The Remote Document Control Clerk is responsible for organizing maintaining and securing all organizational documentsboth digital and physicalaccording to agency and regulatory standards. This role ensures that records are accurate up-to-date and easily accessible for internal teams auditors and compliance requirements. The position supports the smooth flow of information across departments with an emphasis on data confidentiality accuracy and efficiency.
Key Responsibilities
Document Management & Organization
Create maintain and update document control systems for administrative programmatic and client records.
Digitize and upload paper documents to secure electronic databases.
Maintain version control and ensure document accuracy and consistency.
Organize files according to organizational policies and retention schedules.
Support secure document retrieval for staff and management as needed.
Compliance & Confidentiality
Ensure all document handling complies with HIPAA state licensing and internal confidentiality policies.
Track and manage document expiration dates and renewal requirements (e.g. certifications contracts).
Prepare files and records for audits monitoring visits and compliance reviews.
Communication & Coordination
Collaborate with program directors case managers and administrative staff to ensure timely document updates.
Respond to document requests from internal departments promptly and accurately.
Report discrepancies missing records or compliance issues to management.
Data Entry & Record-keeping
Input and verify data in electronic systems with a high level of accuracy.
Maintain logs and tracking spreadsheets for documentation processes.
Support the development and improvement of document management procedures.
Requirements
High school diploma or equivalent required; associates or bachelors degree in Business Administration Records Management or related field preferred.
No experience needed we will train and training is paid
Proficiency in Microsoft Office Suite (Word Excel Outlook) and document management systems.
Strong attention to detail and organizational skills.
Excellent written and verbal communication abilities.
Ability to handle sensitive information with confidentiality and professionalism.
Self-motivated reliable and able to work independently in a remote environment.
