Respite Care of San Antonio (RCSA) provides services to enhance the stability and nurturing opportunities of families caring for a loved one with developmental disabilities and/or complex medical diagnosis. Our goal is to strengthen and stabilize families prevent possible child abuse and prevent or delay institutionalization of the child with special needs.
We offer various services for children with developmental disabilities and/or complex medical diagnoses such as a full-time daycare mothers day out program family day out/parents night out program and summer camps. Along with this we are a licensed emergency shelter and foster placement agency for children who have been taken into state protective custody.
As the Remote Front Desk Receptionist / Clerk at Respite Care of San Antonio you will act as the initial point of contact for clients families and internal teams managing inbound communications providing excellent customer service and performing clerical & data-entry tasks to support the organisations administrative operations. Adhere to organizational front-desk functions are handled with professionalism reliability and strong organization.
Key Responsibilities
Answer incoming phone calls emails or chat messages courteously determine the nature of the inquiry and direct/or respond appropriately.
Greet virtual clients or visitors (via video chat or phone) and provide general information about the organisations programs and services.
Maintain front-desk logs: call logs visitor/virtual-visitor records message transmission records.
Enter update verify and maintain database records for clients caregivers service engagements scheduling ensuring data accuracy and confidentiality.
Prepare scan and organize digital files/documents: correspondence forms reports contracts incident records.
Assist with scheduling appointments coordinating meetings or video calls sending calendar invites and tracking confirmations.
Monitor and respond to administrative requests from internal teams (e.g. scheduling changes follow-up messages document requests).
Ensure that remote front-desk environment (phone chat email system) is maintained issues flagged and resolved or escalated.
Uphold confidentiality of client and organizational information adhere to privacy policies (e.g. HIPAA or any applicable standard).
Provide other remote-administrative support as required (e.g. basic reporting drafting standard correspondence linking with data entry/support teams).
Requirements
High school diploma or equivalent; post-secondary certificate or associates degree in administration preferred.
No experience needed we will train and training is paid
Excellent verbal and written communication skills; strong telephone and email/chat etiquette.
Proficiency with office software (e.g. Microsoft Word Excel Outlook) and comfortable learning new database/CRM systems.
High attention to detail strong organizational skills and ability to manage multiple tasks.
Ability to work independently in a remote environment: reliable internet connection quiet workspace motivated self-starter.
Strong customer service orientation and ability to deal professionally with clients families or team members.
Ability to maintain confidentiality and handle sensitive information responsibly.
Working Conditions & Other
Fully remote role. May require availability during standard business hours (with possibility of occasional extended hours or flexibility).
Must have a dedicated remote workspace secure and professional setting with required equipment (computer headset webcam etc.).
