POSITION SUMMARY
This position will be responsible for comprehensive management in all aspects of student financial accounts at Bastyr University. This includes processing and reconciliation of Direct Loan disbursements payments living expense refunds maintenance and collections of student accounts and Perkins Loan accounts.
ESSENTIAL RESPONSIBILITIES
- Perform the following student account activities:
- Research and document the steps necessary to reassign a Perkins loans to the Department of Education.
- Process payments for tuition and fees Title IV awards and living expense refunds.
- Reconcile student tuition accounts with General Ledger and close AR-Student accounts (monthly).
- Provide answers to students with questions and problems regarding their tuition scholarships and loans.
- Manage the processing and collection activities for the Federal Perkins Loan Program at Bastyr University. Including the following:
- Collecting / Handling / Preparation of promissory notes / Perkins Loan files
- Verification of student loan file
- Conducting entrance/exit interviews
- Billing students in repayment
- Collecting payments maintaining students Perkins accounts reconciling accounts to General Ledger
- Maintaining communication with alumni
- Recommending deferments
- Recommending / managing accounts to collection agency
- Providing necessary information for completion of reports
- Maintaining all necessary student account collection records
- Ensure all above actions in compliance with the Department of Education regulations
- Assigning defaulted loans to the Department of Education
- Maintain the manual for student accounts and Perkins Loan accounts procedures
- Maintain liaison with the Financial Aid Office and Department of Education to ensure continual update of changes pertaining to individual awards and Title IV laws and regulations. Troubleshoot funding delays with the Financial Aid Office
OTHER RESPONSIBILITIES
- Ensure accounting records monthly accounting close activities and variance analyses are properly prepared maintained and explained in a timely manner as relates to student accounts.
- Preparation of journal entries and file upload into the accounting system as needed.
- Preparation of supporting schedules and variance analysis as assigned
- Manage internal controls and related procedure documentation for assigned areas
- Preparation of annual audit schedules and facilitation of audit testing for financial and operational audits as needed as relates to Student Accounts
- Daily reconciliation between bank and GL cash accounts as well as handling daily receipts and monitoring monthly tuition revenue intake to produce reports for management
- Other duties as assigned
Qualifications
BASIC QUALIFICATIONS
Skills and Abilities:
- Strong organizational skills with excellent attention to detail.
- Must be able to operate and maintain the Solomon IV software.
- Ability to generate forms and spreadsheets using the PC in Word Excel and Quicken.
- Must posses strong abilities to perform various accounting duties with minimum supervision.
- Position requires a high level of financial responsibility in the process of recording and collecting accounts receivable and the posting of all revenues and general journal entries.
- A high degree of accuracy. Error will affect the University financial position and accuracy of external reports.
- Good judgment and people skills are essential to arrive at solutions to problems.
- Decisions regarding confidentiality are critical and lack of judgment could have serious consequences.
- Must be able to consistently sit speak clearly hear conversations see nearby items and have average depth perception.
Experience:
- Ability to enter data accurately and quickly with excellent attention to detail
- Ability to work under pressure managing multiple tasks and deadlines
- Ability to communicate effectively both in written and verbal communications
- Excellent customer service skills including the ability to work cross-functionally with vendors department heads staff faculty and students in a highly collaborative work style
- Strong organizational and time management skills
- Intermediate to advance skills in Microsoft Excel and Word
- BS Degree
Knowledge of the following:
- Must know and understand Fund Accounting.
- Must know and understand Generally Accepted Accounting Principles.
- Understanding of budgeting principles.
PREFERRED QUALIFICATIONS
- Non-profit and/or higher education experience
- MIP and/or Microix Workflow systems experience
- Bachelors Degree
