Description
Position Summary
The Radiology Scheduler is responsible for coordinating and managing patient appointments ensuring a smooth and efficient scheduling process. This role involves greeting patients handling incoming calls verifying registration and orders and providing excellent customer service in a professional and compassionate manner.
Essential Duties and Responsibilities
- Schedule reschedule and cancel radiology appointments in person or by phone; accurately document no-shows and cancellations in the system.
- Assist patients in scheduling off-site procedures and follow up as needed.
- Verify patient registration information and ensure accurate service order entry.
- Answer incoming calls promptly (by the third ring) route calls appropriately and take clear accurate messages.
- Greet and acknowledge all patients with a friendly and professional demeanor maintaining a welcoming environment in the waiting area.
- Prioritize patient needs and provide timely assistance even during peak hours.
- Maintain a clean and organized work area and ensure all patient-facing materials are current and professional in appearance.
- Collaborate effectively with coworkers and support staff demonstrating a positive attitude and teamwork.
- Uphold hospital and departmental policies dress code and attendance standards.
- Complete required training and continuing education in a timely manner.
- Assist with medical records requests and general office duties as assigned.
- Prepare and label documents for scanning accurately and in a timely manner.
- Provide orientation or training to new staff as requested.
- Perform other related duties as assigned to support the overall operations of the department.
Qualifications
Minimum Qualifications
Licenses and Certifications Required:
Education Requirements:
- High school diploma or equivalent strongly preferred.
Experience Requirements:
- Minimum of 6 months of clerical or administrative experience (medical office preferred).
- Experience with computer-based scheduling or data systems required.
- Knowledge of medical terminology or coding preferred.
- Excellent communication and customer service skills required.
Special Skills or Training Requirements:
- Exceptional interpersonal and communication skills.
- Strong attention to detail and organizational skills.
- Ability to multitask in a fast-paced environment while maintaining professionalism.
- Proficient with computer systems and office software.
- Demonstrates empathy patience and a service-oriented attitude.
Physical and Work Requirements
- Ability to sit or stand for extended periods; occasional bending reaching or light lifting (up to 10 lbs).
- Frequent use of hands and wrists for typing and phone work.
- Continuous communication with patients and staff.
- Minimal exposure to occupational hazards (Category III - no expected exposure to bloodborne pathogens).
- Reasonable accommodations available as needed.
