The Anchorage District Court of the Alaska Court System (ACS) is accepting applications for a Chambers Judicial Assistant 1 (salary range 12) to provide clerical support for a team of District Court Judges and occasional support to other administrative assistants.


This position is responsible for ensuring the efficient flow of paperwork and files between judges chambers and other court divisions. The role involves scanning and routing case files and documents in OnBase to the appropriate judge preparing and editing correspondence orders and other documents as directed by judges and generating simple orders for signature. The incumbent reviews pending motions to determine their readiness and urgency distributes and dockets signed orders and notices and maintains motion records and assigned caseloads in CourtView.

Additional duties include managing matters under advisement handling telephone calls and visitors with tact and discretion and providing accurate information or follow-up as needed. The position also assists judges by printing amending and organizing jury instructions preparing and submitting pay affidavits and processing travel expense claims. Other assigned tasks may include dictation assisting with special projects and coordinating meetings to support the overall operations of the judges chambers.

  1. Ability to establish priorities and perform administrative assignments independently.
  2. Ability to handle with courtesy and tact a wide variety of public contacts in writing and in person.
  3. Ability to understand and carry out oral and written directions following a minimum of explanation.
  4. Experience maintaining office files and/or records systems.
  5. Experience proofreading formatting and editing professional documents.
  6. Proficiency using Microsoft Word Excel and Outlook.


The Work Hours

Full-time court employees are currently scheduled to work 37.5 hours per week. The work hours for this position are Monday Friday 8:00 a.m. to 4:30 p.m. with a one-hour lunch break.

Minimum Qualifications

Graduation from high school or completion of a General Education Development (GED) certificate.

AND

Two years of progressively responsible fully qualified work experience as an administrative assistant.



Substitution:

Completion of an appropriate vocational training course of study such as legal secretary paralegal or office skills will substitute for one year of the required administrative assistant work experience.

A bachelors degree from an accredited college will substitute for one year of the required administrative assistant work experience.

Twelve months of work experience performing general clerical work that demonstrates work skills equal to those of a Court Case Manager 1 with the Alaska Court System will substitute for one year of the required administrative assistant work experience.

NOTE: Work experience as a legal administrative assistant is preferred. Positions in this job classification are in the partially-exempt service and serve at-will to the appointing authority.
