Schedule:

  • 3 days per week (Tuesday Wednesday Thursday)
  • 8:00 AM - 5:00 PM EST
  • Parking provided
  • Dress Code: Business Casual
  • Interview Type: In-person

Summary:

Ricoh is seeking a professional and customer-focused Receptionist & Switchboard Operator to provide front desk and administrative support within a legal office environment. The ideal candidate will be proactive detail-oriented and skilled in delivering exceptional client-facing service.


Responsibilities:

  • Welcome and assist visitors employees clients and guests in a professional manner
  • Manage and schedule meeting rooms ensuring readiness (supplies beverages video conferencing etc.)
  • Answer and route incoming calls using proper phone etiquette
  • Perform light clerical/administrative duties:
    • Prepare documents maintain files calendars and correspondence
    • Assist with scheduling appointments and meetings
    • Provide basic legal document support as required
  • Support attorneys paralegals and legal administrative staff with value-added services
  • Maintain visitor/guest security procedures
  • Track attorney and staff whereabouts to manage calls and visitors efficiently
  • Act as concierge for clients and guests (local restaurants services etc.)
  • Maintain professional lobby appearance and cleanliness
  • Order/organize supplies and perform light hospitality tasks (coffee water catering orders)
  • Participate in company/community initiatives and service events
  • Perform additional duties as assigned by the Site Manager/Supervisor

Requirements:

  • High school diploma required; Associates or Bachelors preferred
  • 2 years of related business/reception experience (law firm or legal environment strongly preferred)
  • Strong administrative background with MS Office Suite (Word Excel PowerPoint) proficiency
  • Excellent organizational multitasking and communication skills
  • High level of professionalism and customer service orientation
  • Ability to adapt quickly and maintain a proactive approach
