Our diverse international team of approximately 70 staff collaborate closely with one another and with external stakeholders to further our mission. EMBO is located on the international EMBL life sciences research campus in Heidelberg Germany.

Your role

You will join the Courses & Workshops team as a Programme Officer. The Courses & Workshops Programme funds over 90 courses and conferences attracting more than 12000 participants every year making it the largest funder of life science meetings in Europe. EMBO Courses & Workshops are organised by leading scientists in their fields and enjoy an excellent addition to providing financial support EMBO assists organizers with the promotion of the meeting the creation of a website with registration system and abstract submission facilities and the design of a poster.

Reporting to the Head of Courses & Workshops you will provide a range of technical and administrative support for the Courses & Workshops Programme.

Your main tasks will include:

  • Liaising with organizers of EMBO Courses & Workshops to provide support including setting up websites online registration systems questionnaires and promotional materials and implementing front-end web interfaces (design layout)
  • Monitoring externally created websites and liaising with platform providers and third parties on technical questions
  • Designing posters and abstract book covers using organizer-provided scientific images
  • Distributing and evaluating questionnaires and managing promotional material stocks
  • Collating statistical questionnaire and financial information and creating reports
  • Supporting sustainable conferencing practices
  • Assist in the organization of internal meetings including documentation and logistics
  • Providing general administrative support and team back-up reviewing documentation and guidelines maintaining an archive of relevant documentation and assisting with related duties and additional tasks as required

You have

  • Basic knowledge of databases (FileMaker Pro) and content management systems;
  • Basic to intermediate skills in Indesign and Photoshop;
  • Excellent command of standard office software packages (Microsoft Office suite);
  • Excellent written and oral English language skills;
  • Great attention to detail and high quality standards even when dealing with multiple tasks and deadlines simultaneously and under time pressure;
  • The ability to work both autonomously and as part of a team;
  • A customer and service-oriented attitude and well-developed communication and interpersonal skills.

You might have

  • Relevant administrative experience or an equivalent professional training certificate.

Starting salary: Starting salary 3705 Euros or higher depending on experience and qualifications
