THE DEPARTMENT:

The Division for Information Technology provides innovative strategic and cost- appropriate technology services in collaboration with the campus community to advance the mission of the University. Information and Digital technology services are recognized as an essential resource in furthering the Universitys mission. The Division of Information Technology provides technology solutions expert consultation and leadership resulting in numerous enhancements to the advancement of learning and knowledge and to the effectiveness of campus support services and business processes for the entire University. The Project and Process Management Office (PPMO) provides central technology management oversight for new and existing campus-wide technology initiatives. This oversight includes technology focused project management and project reporting for significant processes. The PPMO also provides project management for university wide initiatives.



DUTIES AND RESPONSIBILITIES:

Training & Development

  • Collaborate with key campus partners (CAFE EODA and others) to ensure technology training aligns with professional development and student success initiatives.
  • Design implement and deliver training programs on campus tools like the Microsoft 365 suite (Copilot Copilot 365 Teams OneDrive SharePoint Outlook and Excel).
  • Design implement and deliver training programs for AI tools and use cases.
  • Lead initiatives to enhance campus readiness and literacy around AI including responsible AI use and integration into teaching learning and administrative workflows.
  • Create accessible user-friendly resources such as tutorials eLearning modules and job aids.
  • Partner with IT subject matter experts to deliver targeted training during system implementations or technology rollouts.
  • Evaluate training effectiveness through feedback and analytics adjusting offerings to meet evolving campus needs.

Event Coordination

  • Plan and manage IT-sponsored events including technology fairs AI learning series cybersecurity awareness campaigns and vendor demonstrations.
  • Coordinate IT Division events such as retreats meetings and recognition activities.
  • Partner with IT Communications and campus organizations to promote IT training and events.
  • Assess event participation and feedback to improve future programming.

Communications

  • Manage IT communications ensuring timely and consistent updates about IT services projects training and events.
  • Coordinate content for IT newsletters website updates knowledge base articles social media and other outreach channels.
  • Collaborate with the IT communications specialist and Strategic Communications to align messaging with institutional branding and accessibility standards.
  • Gather user feedback and adjust communication strategies to improve engagement and awareness.
  • Promote awareness of responsible technology and AI use through targeted campaigns.

Leadership & Collaboration

  • Supervise the IT communications specialist.
  • Lead teams of staff and/or student assistants supporting training and events.
  • Serve as a campus resource and advocate for the adoption of campus supported tools and AI tools.
  • Represent IT on committees related to professional development digital literacy and emerging technology adoption.
  • Foster collaboration across divisions to promote consistent effective use of Microsoft and AI tools.

Administrative & Strategic Support

  • Manage budgets vendor relationships and contracts for training platforms and event services.
  • Maintain partnerships with software and AI vendors to access training resources and opportunities.
  • Provide reports to IT leadership on training participation technology adoption and event engagement.
  • Support the IT Divisions strategic goals to advance digital transformation at Cal Poly Pomona.

QUALIFICATIONS:

  • Bachelors Degree - degree in computer science information systems engineering business administration educational technology communications or a related field. and
  • Driver License Valid and in State
  • Five (5) years of successful and progressively responsible experience working with information technology and performance of design and supervision of large technical initiatives demonstrated expertise in the assessment deployment and management of technology-based services and solutions.
  • Expertise in technical support services and experience providing technical support and/or helpdesk solutions for workstations network connectivity desktop applications and complex information systems.
  • Experience with standardized IT products procedures and protocols; experience in network
  • Experience with Communications Communication Technology or Video Technology.
  • Effective communication skills and demonstrated ability to communicate with technical and non- technical users write reports and prepare proposals and make formal presentations.
  • Ability to formulate and disseminate project plans in a collaborative environment; to interpret analyze
  • and make decisions based on policies procedures and regulations; to use judgement and discretion to act when precedents do not exist.
  • Strong negotiation and conflict management skills.
  • Evidence of strong commitment and ability to uphold the educational goals of the university and its
  • increasingly diverse ethnic cultural and international character.
  • Extensive knowledge of instructional design theories and methodologies innovation in teaching and
  • learning trends in IT engagement and of best practices in the management of engagement and innovation
  • technologies related to academic support services.
  • Demonstrated skill in providing leadership for appropriate integration of learning technologies and
  • pedagogy into instructional programs and activities including online and distance education.
  • Proven record of success in developing and maintaining strong working relationships with faculty
  • students staff (particularly technology staff) administrators and both internal and external partners.
  • Proven ability to lead and serve on cross-campus collaborative groups.
  • Works with campus partners and Training Managers to gather develop update and deliver technical training.
  • Experience with event planning and execution


PREFERRED QUALIFICATIONS:

  • Demonstrated ability to plan and coordinate major IT events and initiatives through the entire life cycle from initial user requirements gathering through design implementation testing and commissioning in a fast paced and ever changing environment.
  • Ability to work collaboratively in a decentralized environment with multiple and diverse priorities by basing decisions on sound judgement and discretion.
  • Demonstrated technical knowledge and ability to coordinate systems and applications needs analysis conduct feasibility studies and develop operating procedures.
  • Expertise in critical support services help desk desktop support complex applications support;
  • Excellent customer service.
  • Experience providing technical support for complex applications.
  • Effective communication skills and demonstrated ability to communicate with technical and non- technical users.
  • Demonstrated ability to transition between strategic vision and operational details in order to successfully define and implement department goals in alignment with division and university goals and core values.
  • Demonstrated ability to offer constructive opinions and alternative solutions to a problem and be supportive of the final decision once it has been made.
  • Ability to define problems research and analyze requirements establish facts draw valid conclusions and interpret an extensive variety of technical and functional processes.
  • Experience in a university IT support environment.
  • Experience with developing and conducting training. Advance knowledge of higher education Information Technology issues technologies and trends.
  • Experience with coordinating and or writing IT specific communications.

CSU Classification Salary Range

This position is part of the Management Personnel Plan (MPP) bargaining unit M80 (Non represented). The CSU Classification Standards for this position are located on the CSU Classification Standards CSU Salary Schedule is located on the CSU Salary Schedule classification salary range for this position according to the respective skill level is: minimum$5053 and maximum$16221 per month. Please refer to the anticipated hiring range for the appropriate salary rate for this particular position.

University Driving Requirements

Positions that require driving for university business by using apersonal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Drivers license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12-month period (or any combination of 3 thereof) 3. Not have more than 3 DMV Points if their license is Class C or 4. Not have more than 5 DMV Points if their license is Class A B or C with endorsements.
