$17.16 per hour per RSPA Master Agreement for Classification II

QUALIFICATIONS:

  1. High School Diploma with excellent command of the English language.
  2. Good basic computer skills and aptitude to learn software programs used in this position.
  3. Knowledge of MS Office Suite Google Suite and Canva
  4. Ability to accomplish tasks with frequent interruptions and minimal supervision.
  5. Ability to interact positively with the professional staff and the general public.
  6. Ability to maintain an exceptionally high degree of confidentiality and exhibit sensitivity to the particular concerns of the parents of special needs children.
  7. Regular reliable and punctual attendance required.
  8. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

REPORTS TO: Assistant Superintendent of Special Populations Diversity Equity and Inclusion

JOB GOAL: To perform clerical duties related to special education records student counts and services for special education department.

PERFORMANCE RESPONSIBILITIES: The performance responsibilities listed below represent an overview of the responsibilities for this position.

  1. Maintains student master files for special education students.
  2. Interacts with parents with sensitivity to their particular concerns and serve as a positive public relations advocate for the Rochester Community Schools.
  3. Processes requests for special education transportation.
  4. Processes all requests for transfer of records pertaining to special education students.
  5. Maintains special education students in student information system and Individualized Education Plan (IEP) Management systems.
  6. Completes the exit process in the IEP management system as appropriate. This includes ensuring the Summary of Performance is submitted for students as appropriate.
  7. Point person in Synergy for special education department to maintain current staff access.
  8. Responsible for the submission and maintenance of count day information that is required.
  9. Conducts audits of Individual Family Service Plans (IFSPs) IEPs Non-Public Service Plans (NPSPs) and all related documents to ensure appropriate documentation in attached to the IEP record in the IEP management system such as Medicaid consent forms and Personal Care Services Forms.
  10. Provides monthly report of overdue IFPS NPSPs IEPs and Re-evaluations to the special education leadership team.
  11. Notifies staff of new student enrollments.
  12. Monitors the submission of out of district IEPs and ensures the IEP information is documented in the IEP management system.
  13. Completes staff mandated student follow-up procedures for all students who leave special education due to graduation and/or decertification.
  14. Provides monthly report of referrals and evaluations completed and pending.
  15. Maintains hard copies of records for in active Special Education students and purge files as deemed appropriate based on district policy and the Records Retention and Disposal Schedule for Michigan Public Schools.
  16. Updates the Early Childhood Special Education (ECSE) student roster as students enter and exit the program in the Student Information System.
  17. Processes District Service Requests (DSRs) and submits to Oakland Schools.
  18. Assists with other duties as assigned by the Assistant Superintendent of Special Populations Diversity Equity and Inclusion

TERMS OF EMPLOYMENT:

  1. 12 month position
  2. 8 hours per day
  3. Salary and benefits as per master agreement for Classification II

WORKING CONDITIONS:

  1. An employee working in this assignment will be required to sit for long periods of time and work on a desktop computer.
  2. Data entry and record search is a large part of the duties of this position and repetitive hand motion will be required.

REQUIRED POSITION TESTS:

Microsoft Office Current District Version: Intermediate Word and Excel and PowerPoint; and Office Basic Outlook; OPAC Clerical Skills Assessments in: Bank Deposits/Petty Cash; Customer Service Phone Skills; Numeric/Alpha/Record Locator Tests Sentence Clarity and Spelling. Encounter Software: Interpersonal/Teamwork Assessment
