The mission of this full-time position is to process all life insurance applications orders medical records helps manage life insurance cases as back up follow up on submitted policy requests provides support with inforce business and assists Vice President and/or Manager with administrative duties.


Primary Responsibilities

  • Document Management and Processing
    • Scan and upload all new insurance forms into Docupace.
    • Process all new Life and Disability Insurance applications.
    • Maintain accurate records and documentation for insurance applications and service requests.
  • Policy and Service Support
    • Order and follow up on medical records related to insurance applications.
    • Submit and follow up on all pending business/service request forms ensuring timely completion.
    • Manage follow up folders.
    • Assist with outside business (AIMCOR Crump CIA and Standard) policy-related tasks.
  • Suitability Process
    • Request and submit suitability forms to Cetera.
    • Enter policy numbers into Docupace.
    • Track and ensure suitability completion including 30-day follow-ups.
  • Administrative Support
    • Provide administrative assistance to the Vice President and Manager of Insurance Operations.
    • Serve as backup to the Manager of Insurance Operations when needed.
    • Communicated with the advisors and/or assistants regarding the status of their pending business.
    • Provides back-up to the Insurance Operations staff in our outside offices.
    • Provide occasional backup support to the receptionist when the main backup is unavailable.

Other duties may be assigned to meet the business needs

Essential Characteristics:

  • Must have a high level of interpersonal skills to handle sensitive and confidential situations.
  • This position requires demonstrated poise tact and diplomacy.
  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Work requires attention to detail in such things as composing typing and proofing materials establishing priorities and meeting deadlines.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

Education Training & Experience:

  • High School diploma
  • Two or more years of experience in an office environment
  • Working knowledge of life insurancepreferred not required

Computer Equipment & Software:

  • Proficiency in the use of computer programs for:
    • Microsoft Office Suite
    • Databases
    • Spreadsheets
    • Access
    • Internet
  • Proficiency in the use of office equipment:
    • Computer
    • Voice messaging systems
    • Fax
    • Photo copier
    • Typing of at least 50 wpm

Working Conditions:

  • This position requires working in an office environment.
  • This position usually works a standard work week.
  • This position rarely works overtime.
  • This position rarely involves travel.
