Job Summary

Expected Starting Rate: $53824

POSITION SUMMARY

This position assists with the coordination of the departments operations. The clerks duties will include scheduling appointments day-to-day tracking of various work orders assist in the coordination of activities of functional areas within the department and interact with the public or employees and/or others within the organization in a courteous professional and effective manner.

Works under the supervision of Assistant Director of Public Works or their designee.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Answers questions and provides information to the public either in person through the City customer service software via e-mail or telephone pertaining to Department operations.
  • Composes types and edits correspondence memoranda and reports as requested; opens and date stamps mail; maintains Department files and Department Director meeting calendar.
  • Creates reports using word processing database and spreadsheet software packages as necessary.
  • Orders equipment and supplies.
  • Processes purchase requisitions and purchase orders.
  • Perform routine duties such as photocopying documents and related materials filing documents and performing light duty typing.
  • Creates files for presentations or publications using PowerPoint and Publisher software.
  • Compiles gathers and analyzes information and prepares related documents for special studies and reports and other purposes.
  • Proactively troubleshoots and takes the lead in resolving complex customer service issues keeping his/her supervisor informed of potential problems.
  • Supports and adheres to all City and Departmental Policies & Procedures while staying up to date with local state and federal regulations reporting forms and legislation.
  • Performs other related duties as assigned by supervisor.

MINIMUM QUALIFICATIONS

A high school diploma or GED equivalent with at least two years experience in an office environment.

  • Knowledge of the practices and procedures involved in modern business office work.
  • Ability to quickly transition from one task to another and communicate effectively both verbally and in writing.
  • Ability to operate a variety of software packages including the MS Office Suite and office machines (computer fax calculator scanner) with speed and accuracy.
  • Ability to conduct research and compile reports carry out assigned projects to completion and adhere to deadlines.
  • Ability to establish and maintain effective working relationships with diverse groups of individuals and maintain confidentiality. Ability to maintain an optimistic professional and credible attitude at all times.
  • Ability to understand and follow instructions and detailed working procedures to achieve desired objectives and to communicate effectively verbally and in writing. Ability to focus on detail and follow up on unresolved items.
  • Ability to efficiently and effectively solve problems and understand when to bring items to individuals in positions with the authority to resolve problems.
  • Must demonstrate and maintain the ability to always be professional possess an optimistic and credible attitude deliver a high level of customer service and be self-motivated detail oriented and a dependable individual that has the ability to communicate effectively with internal and external stakeholders.

SPECIAL REQUIREMENTS/QUALIFICATIONS

  • State of Illinois Class D Drivers License or ability to obtain one.

EQUIPMENT USED

  • Requires frequent use of personal computer various software programs including MS Office telephone copy machine fax machine calculator and postage machine.

PHYSICAL DEMANDS

  • While performing the duties of this job the employee is frequently required to sit and talk or hear. The employee is frequently required to walk; utilize fine motor skills to use hands to finger handle or feel objects tools or controls; and reach with hands and arms.
  • The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus to read a variety of documents including those which may be handwritten.

WORKING CONDITIONS

  • Work is performed in an office setting where the noise level is usually quiet.

POSITION SALARY RANGE: $53824 $73380

Please note that unless exceptional qualifications or experience beyond the minimum requirements are present the City of Des Plaines typically hires at the starting rate of the range.
