GENERAL STATEMENT OF DUTIES:
To perform general clerical telephone communications word processing budget invoice processing attendance and overtime reports computer functions and other related duties. Must be able to handle multiple demands simultaneously. Assignments and instructions are received from the Director of Buildings and Grounds coordinating with the Maintenance Supervisor and Construction Coordinator.
ILLUSTRATIVE EXAMPLES OF WORK PERFORMED:
- Keyboarding correspondence email processing of invoices entering requisitions and purchase orders into the district accounting database.
- Telephone communication to include: general telephone duties the handling of complaints and emergencies vendor and billing inquiries as required by supervisor.
- Maintenance of files and records as required.
- Reviews verifies (pricing pricing extensions and totals) and obtains authorizations for all invoices and purchase orders.
- Maintain and monitor budget accounts (including bond accounts) and process billing for various vendors.
- Assist in the maintenance and tracking of the district-wide maintenance work order program.
- Communication with staff the public the City and all other departments.
- Other related duties as required by the Director.
REQUIRED QUALIFICATIONS:
The ability to make accurate tabulations and computations; the ability to readily understand and carry out directions both oral and written; reasonable speed and accuracy in typing and keyboarding; must be able to meet or exceed minimum standards set in regards to applicant testing; the ability to communicate with staff and the public; should be familiar with office equipment including but not limited to: computer calculator telephone photocopier and familiarity with applicable software applications (District accounting database MS Word Excel Power point and Google applications) the ability to quickly master the work order software SchoolDude the ability to communicate clearly and concisely both orally and in written form; the ability to handle confidential data and material with utmost discretion; the ability to work independently with minimal supervision; the ability to develop an effective working relationship with staff and the community and the ability to perform duties with an awareness of school department requirements and policies.
EDUCATION:
Such as may be gained from graduation from a senior high school or equivalent (GED) including or supplemented by keyboarding and computer software application. Business or technical school graduate preferred. One year business experience helpful.
