POSITION DESCRIPTION
POSITION: Remote Sales Support
FULL TIME - 40 hours weekly
VA Rate : $8 AUD per hour
DIRECTLY RESPONSIBLE TO: General Manager
FUNCTIONAL RELATIONSHIPS WITH: Sales Managers Production Manager Purchasing
and Operations Coordinators Stores Team Leader Customers Accounts and Administration.
PRIMARY OBJECTIVES:
- Daily entry of Sales Orders from customer Purchase Orders Quotation generation and Invoicing prior to delivery.
- Maintain strong customer relationships is key to developing long term loyalty.
- Build effective working relationships with the external Sales Managers Administration Purchasing Production and Logistics departments to satisfy customers requirements.
- The following are brief outlines of what is expected of the position.
SALES SUPPORT / CUSTOMER SERVICE:
Serve as the primary customer and sales representative liaison with a primary
focus on handling inbound calls and email enquiries promptly and professionally.
Address customer queries resolve issues and provide detailed information regarding product offerings pricing and product availability.
Play a key role in streamlining customer order processing meticulously verifying accuracy and orchestrating seamless order fulfillment through coordination with various departments.
Ensure the integrity and consistency of our Tencia system by accurately inputting and maintaining customer data sales orders invoices and relevant information.
Efficiently manage sales related paperwork including sales orders invoices and
despatch documents by maintaining an organised and easily accessible filing
system.
Continuously seek opportunities to enhance processes within the sales support
function and collaborate closely with the administrative team to implement improvements.
QUALITY CONTROL:
- Troubleshoot and/or seek solutions to problems related to concerns over Sales
Orders and Quotation enquiries. - Generate Credit Notes as required in a timely manner recording necessary information on the Credit Note required to allow reference to associated documentation.
- Monitor and respond to customer feedback complaints or concerns related to product quality.
WORK HEALTH & SAFETY:
- Where requested participate and contribute to the informal or formal education
of any staff in any required safety procedures in accordance with company policy and appropriate statutory requirements. - Act immediately upon any identification of unsafe work practices areas o machinery which you see or is reported to you.
- Maintain a safe work environment through the adherence of Standard Health and Safety procedures.
