DescriptionAs an Executive Assistant /Business Support Specialist this position requires a passion for client/customer satisfaction as well as the desire to continually tackle new challenges. Excellence
- Work directly with the Toronto and Canada Work & Rewards Market Leaders planning and executing on market initiatives client and colleague events
- Work directly with our team of Work & Rewards consultants on a variety of client deliverables project planning and related initiatives
- Develop a strong understanding of the Work & Rewards Group and all of our lines of business to provide proactive support
- Demonstrate autonomy and proactive initiative to plan and lead market-related activities
- Lead and support the development of client-ready documents including presentations and contracts in PowerPoint Word and other written documentation/communication
- Proactively pursue and undertake ongoing development of technical and administrative skills to support in a continuously evolving environment
- Seek and participate in key learning and development opportunities/maintain steady progress
- Provide advanced level support in the full Microsoft Suite specifically Teams Dynamics Word PowerPoint and Excel including the support of analytical market measures and system entries
- Ensure excellence and quality control/proofreading/editing
- Actively manage meeting/event coordination and preparation
- Coordinate complex planning preparation implementation of market activities and scheduling of travel arrangements expense reporting
- Actively plan and participate in team meetings and support the capturing and completion of next steps and action items
- Anticipate and support administrative needs of leaders in partnership with other administrative staff
People
- Build strong relationships internally and collaborate effectively on cross-functional teams
- Support the collaborative team environment by partnering with other administrative staff on workflow and client projects
- Demonstrate natural ease and effectiveness when dealing with clients/colleagues at all levels
- Work in a supportive team-oriented environment
Clients
- Oversee client project administration (including project set-up contract administration file maintenance etc.)
- Provide assistance in new business activities market research presentation creation database management.
- Deliver on projects to meet or exceed client expectations
- Increase efficiency by identifying ways to improve processes
- Build strong relationships with clients particularly administrative support; serve our clients in a professional and collaborative manner
Financial
- Research billing and expense discrepancies
- Generate client/project financial reports in a timely fashion as needed
Qualifications5 years of experience in a professional services environment
- Experience providing administrative support to multiple parties simultaneously
- Advanced working knowledge of Microsoft Word PowerPoint and Excel; Microsoft certification a plus
- Exceptional problem solving critical thinking and customer service skills
Strong organizational skills with proven experience prioritizing work and coordinating several projects at one time
Ability to remain calm under pressure and maintain a professional demeanor
A strong focus on details and accuracy of work
Ability to take full ownership of assigned work
An innate desire to produce high-quality work and earn respect
Flexibility: able to adapt to different people and work assignments
A learning orientation with strong interpersonal and project/time management skills
Ability to communicate openly and effectively both verbally and in writing
Associates degree a plus
Bachelors degree preferred
